Position Summary
Paul Davis Restoration, Inc. is a national franchise organization that provides property damage emergency services, restoration and reconstruction services for residential and commercial properties due to water, fire, mold, storm and other disasters. The Marketing Assistant will work directly with the Chief Marketing Officer. The Marketing Assistant will provide high-level administrative support to the CMO and support the corporate Marketing team with ongoing sales and marketing efforts.

Essential Duties/Responsibilities
  • Consistently, proactively, and efficiently support the CMO and coordinate requests
  • Organize meetings, including scheduling and sending reminders
  • Organize team events, including hotel selection, team member logistics, restaurants, and catering
  • Marketing training administration to include set-up and upload of training videos
  • Monitor marketing email inbox and respond/forward as needed
  • Assist with shipping and other admin tasks
  • Assist with onboarding Marketing team members
    • Coordinate with vendors with marketing materials for new hires, meetings, and conferences
    • Support photographer and any other admin tasks during Owners School
    • Edit files and coordinate print and shipping of business cards for corporate team members
    • Update content on internal WordPress sites
    • Ensure marketing invoices are coded appropriately, approved and submitted on time
  • Assist with compiling and organizing design databases (design files and photo library)
  • Use design software (Adobe InDesign) to update template content (i.e., update photos, verbiage, translations, etc.)
  • Convert designs to editable Microsoft Word and PPT templates
  • Distribute design content as needed (i.e., image assets or other files)
  • Assist with writing content / content curation for marketing materials
  • Weekly Goal Setting & Review sessions with Team Leader
  • Any other duties and responsibilities assigned on a needed basis
Competency – Knowledge, Skills and Abilities:
  • Strong written and verbal communication skills, copywriting experience a plus
  • Knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Adobe)
  • Excellent organizational and priority management skills
  • High level of thoroughness and urgency
  • Ability to work independently and as a team player
  • Maintain a level of confidentiality
  • Ability to meet or exceed deadlines
  • Ability to plan and coordinate meetings

Required Education and Experience
  • Associate/College Degree or equivalent
  • 1+ year marketing and/or communications and/or event management experience
  • Experience with Microsoft Office suite
  • Well versed in modern online website platforms
Preferred Education and Experience
  • Degree in marketing, communications, or writing a plus
  • Design skills (Adobe Suite and Adobe Premiere Pro) a plus
  • Social media management experience (Facebook, Instagram, LinkedIn, TikTok) a plus
  • WordPress experience a plus
Physical Requirement

The employee is occasionally required to sit, climb or balance, stoop or kneel. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
  • Must be able to stay in a stationary position up to 75% of the time
  • Constantly operates a computer and other office productivity machinery, such as a calculator, fax machine, copy machine, and computer printer
  • Must be able to observe and perceive information on a computer and documents
  • Must be able to communicate and converse with corporate team members and franchisees over the phone, Zoom, Microsoft Teams, via email, and face to face
  • Occasionally will lift up to 20lbs.
Work Environment The employee will be working in the confines of an office setting. The employee will be subjected to air conditioning and heat within the office. Most work will be conduct over email, video conferencing, and telephone. The successful person must be productive with minimal supervision. The employee will be required to travel to a few events a year and be exposed to outdoor temperatures during travel. Travel This position may require up to 10% travel. This position requires limited travel to conferences and team meetings.
