SUMMARY:

The position requires an individual to reconcile production consumables including materials and postage by using various software packages to verify and tie out production statistics. Responsible for the disposition of excess client materials.

The individual will be working directly with other production employees in addition to customer services representatives and production supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Project wrap up, completing billing check list, by verifying accuracy of production totals and documentation recorded by other departments in preparation for invoicing.

Using the Wrap Up guidelines, examine production documentation, reports, counts, communications and postage to verify accuracy of recorded data on project work order.

Sort and assemble supporting documentation generated during production, identify any unexpected or additional services provided, research incomplete or inaccurate documentation with appropriate staff and correct errors or list discrepancies for adjustment.

Maintain customer files including specific instructions for returning materials, inserts and procedures.

Close out all postage work orders ensuring: postage reconciliation forms are properly completed; start and end meter readings match prior job's end readings; each piece is accounted for; and ensuring accurate log of meter sheets.

Proof postage sheets to meter sheets, verifying total postage used.

Verify correct inventory was consumed and ending inventory balances reported against actual production,

Specific job skills are as follows:

Computer knowledge required with an aptitude to learn and become proficient with the following items:

o Microsoft Windows

o Primac

o RISC

o Shop Floor

o UPS Software/System

· Understanding of production processes required.

· Reconciling paper work and verifying all materials are claimed to the jobs, materials and postage used.

· Verifying and fixing any discrepancies.

· Overtime as required.

· Must have good organizational skills and the ability to prioritize daily activities to meet the customer’s demands and production schedules.

· Must have good communication skills and the ability to interact with all levels of the organization.

· Must have accurate math skills (multiplication, addition, subtraction, division, etc.) and use of calculator.

· Responsible for business services: pulls, bad addresses and checks for the client. Faxing and sending by FedEx, UPS, etc.

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED); with one year related experience and/or training and thorough knowledge of all postal rules and regulations.

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with customers and before employees of the organization.

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, and volume. Ability to apply concepts of basic algebra and geometry.
