  • However, offer amount will be commensurate with candidate’s experience, education, skills, and training.

CSU CLASSIFICATION SALARY RANGE: $3,681 - $6,034

POSITION PURPOSE:

Under the general direction of the Dean of Business and Public Administration, the Dean’s Assistant will perform a wide variety of complex clerical and administrative work functions for the Office of the Dean including assisting chairs, faculty, students, program directors and staff within the school.

DUTIES & RESPONSIBILITIES:

  • Department Coordination and Analysis
  • Provide administrative support to the Dean in day-to-day operations
  • Process the division’s personnel transactions; monitor and review documents for completeness
  • Provide administrative support, as is required, to the Associate Dean
  • Supervise and schedule student assistants, including assigning and monitoring their work
  • Maintain confidential office files
  • Schedule meetings
  • Coordinate travel arrangements and claims for the Dean’s office
  • Maintain the office inventory
  • Participate in committees and/or take notes as requested
  • Draft and finalize clear and concise documents, screen mail, effectively handle interpersonal interactions with campus and community members
  • Support the AACSB and NASPAA related activities and documentation
  • Manage community engagement related activities
  • Ensure accurate information is communicated and appropriate referrals are made
  • Oversee payroll processes for BPA’s faculty, staff, and students.
  • Event Coordination
  • Assist with event arrangements such as food and rooms
  • Coordinate Dean’s events, receptions, seminars, and workshops
  • Manage preparations for major events including BPA Honor’s Banquet, etc.
  • Coordinate BPA Commencement activities

REQUIRED QUALIFICATIONS:

EDUCATION & EXPERIENCE – High school diploma or GED and five (5) years of recent (within seven years) related office work experience.

SKILLS, KNOWLEDGE & ABILITIES (SKA’s) –

  • Regular and reliable attendance is required
  • Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
  • Ability to interpret and apply policies and procedures independently and use judgement and discretion to act when precedents do not exist
  • Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions to other areas
  • Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference- There are no job duties related to budget outlined.   • Ability to effectively write and present own reports

  • Excellent computer skills and competence with a variety of computer applications including word-processing, spreadsheets, databases, on-line systems, Internet as well as online calendaring and email.
  • Working knowledge of or ability to quickly learn University infrastructure, policies and procedures.
  • Must be willing to travel and attend training programs off-site for occasional professional development.
  • Must be able to work overtime, occasional holidays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.

PREFERRED QUALIFICATIONS:

  • Demonstrated skills in an institutional/educational environment utilizing a customer-oriented and service-centered attitude.
  • Experience with PeopleSoft, knowledge of university policies, procedures and practices and desktop publishing highly desirable.

PHYSICAL DEMANDS: SEDENTARY WORK – involves mainly sitting; minimal walking and standing; lifting light weight objects limited to 15 pounds.
