SUMMARY:

Under the supervision of the Assistant Director of J Camps, the J Camps Office Administrator is responsible for providing administrative support for the J Camps department. This position will communicate and work with J Camp families and J Camp staff to assure that all registrations, paperwork and payment information is accurate and input into the J Camps software systems. This position will also be responsible for creating systems to maintain organization of both camper and staff information and paperwork, creating and sharing rosters and reports as necessary.

Year-Round Role: Non-Seasonal, Part Time (September-April), Full Time (May-August)

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Communicate professionally and effectively with parents, campers, directors and JCC staff.
  • Input payment and additional camper information into our J Camps systems including CampMinder and Salesforce/Traction Rec.
  • Collaborate with the HR department to manage and collect seasonal staff paperwork.
  • Organize and implement a system for camper and staff files; both electronic and paper files.
  • Work with the Assistant Director of J Camps to complete the following duties in CampMinder:
    • Create and distribute weekly rosters and reports to all J Camps Directors.
    • Review and finalize new camper registrations and process applications.
    • Manage CampMinder reports including but not limited to, bunking, transportation, carpool, busing capacity reports etc.
    • Overseeing a camper waitlist and communicating with waitlisted families.

PHYSICAL SKILLS AND WORK ENVIRONMENT:

While performing the duties of this job, the employee is regularly required to use hands to handle, or feel objects, tools, or controls and talk or hear. The employee is frequently required to sit and reach with hands and arms. The employee is occasionally required to stand.

The employee must occasionally lift and/or move up to 25 pounds.

The work environment is usually fast paced. This job requires high energy and interaction with staff as well as with members, other agency staff, community leaders, and outside partners, vendors, others.

Minimum Qualifications:

QUALIFICATIONS:

  • Strong customer service skills.
  • Experience working in the administrative field preferred.
  • Ability to work both collaboratively and independently and multitask under deadlines.
  • Desire to make a positive difference in the lives of young people.
  • Ability to communicate effectively with parents and campers.
  • Excellent interpersonal skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills.
  • Prior experience managing paperwork and office files is a plus.
  • Prior experience working in a summer camp or childrens setting is preferred.
  • Available some evenings and weekends; this position does not take vacation during the camp season (May- August).
  • Comfort with Jewish knowledge.
  • Strong knowledge of computer software, including Excel, Word and Outlook.
