POSITION SUMMARY

The selected candidate is responsible for benefits administration, onboarding/off-boarding, tracking legal compliance, training coordination and administration, Human Resources database management, and providing excellent customer service to the Academy.

The internationally recognized Illinois Mathematics and Science Academy® (IMSA) develops creative, ethical leaders in science, technology, engineering, and mathematics. As a teaching and learning laboratory created by the State of Illinois, IMSA enrolls academically talented Illinois students (grades 10-12) in its advanced, residential college preparatory program. Responsibilities:

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Administers comprehensive employee benefits program
  • Coordinates and delivers new hire benefits orientation, other benefits training, and new employee orientation and onboarding process
  • Assists new and existing employees with benefits enrollment/changes and communicates open enrollment
  • Ensures compliance with all legal requirements of various employee benefit offerings
  • Remains up to date on processes and changes to State of Illinois benefit offerings and ensures compliance with changing federal and state regulations and legislation that may affect employee benefits including FMLA, HIPAA, ADA, SURS pension, etc.
  • Assist in the processing and maintenance of necessary information HR databases; compiles complex reports from various databases/systems
  • Oversees all employee leaves and ensures compliance with policy and procedures
  • Advises employees on workers’ compensation benefits with external vendor
  • Coordinates, communicates, and reports on all compliance training
  • Coordinates verification of employment process in accordance with Faith’s Law requirements
  • Assists in the implementation of the state of IL Ethics Act including but not limited to: report generation, information collection, staff communication, deadline adherence, and ensuring compliance with all legal requirements relating to the EEOC, Affirmative Action initiatives, Title IX, the OEIG, and other regulatory, federal, and state agency laws and mandates.
  • Assist in the coordination of Human Resources records retention and maintenance
  • Serves as the internal HR liaison to Information Technology and Payroll Services, as well as the external liaison to SURS, CMS, 403b providers and other HR vendors
  • Assists in the preparation of required State of Illinois reports
  • Assists in responding to questions from staff and management regarding Americans with Disabilities Act (‘ADA’) compliance and accommodation requests
  • Assists in the evaluation, research and administration of employee requests for workplace accommodations.
  • Leads the staff appreciation committee to support and improve employee engagement
  • Other duties as assigned
Qualifications:

REQUIRED QUALIFICATIONS

  • Minimum of Bachelor’s degree and 2 years of experience in Human Resources, or related field or an equivalent combination of education and experience
  • Demonstrated understanding and application of principles of diversity, equity, inclusion and belonging
  • Must be able to work well with employees at all levels of the organization.
  • Must be self-directed and able to prioritize assignments. Must be able to meet deadlines.
  • High-level of human relations skills, maturity and considerable discretion in handling confidential matters required.
  • Proficiency with Human Resource Management Systems and/or other databases
  • Proficiency with Microsoft Office Suite
  • Exceptional analytical, organization, and communication skills
  • Superior tact and employee relations skills
  • Ability to maintain a high level of confidentiality
  • Ability to handle multiple tasks at one time; ability to prioritize tasks, complete in a timely manner and work with limited supervision.

PREFERRED QUALIFICATIONS

  • Experience in an academic setting and/or a state agency
  • Bachelor’s degree in Human Resources or related area
  • SHRM or other HR industry certification
  • Bilingual, Spanish


WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:

Work is performed in an office setting with minimal exposure to health or safety hazards. Substantial time is spent working on a computer. This role generally requires mobility, written and verbal communication, hearing and visual capabilities. However, reasonable accommodations, including assistive technology, may be made to enable qualified individuals with disabilities to perform such requirements.


COMPENSATION:

This is a full-time, exempt, employment-at-will position. Starting salary no less than $53,467 and commensurate with education and experience. IMSA offers an excellent comprehensive benefits package, including health and retirement benefits. The State Universities Retirement System (SURS) is reciprocal with other Illinois public retirement systems such as the Teachers’ Retirement System of Illinois (TRS) and the Illinois Municipal Retirement Fund (IMRF).
