POSITION SUMMARY: The Human Resources Administrative Assistant will perform tasks and services to support the effective and efficient operations of the organization's human resources department.
POSITION-SPECIFIC COMPETENCIES/ESSENTIAL FUNCTIONS/DUTIES & RESPONSIBILITIES:
- Answers all incoming telephone calls from the HR Call Queue, directs phone calls to the applicable individual(s), and, if necessary takes messages on behalf of the individual(s).
- Maintains accurate and up-to-date human resources files, records, and documentation
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management
- Maintains the integrity and confidentiality of human resource files and records
- Performs periodic audits of HR files and records to collect and file all required documents appropriately
- Provides clerical support to the HR department
- Process Personnel Action Forms (PAF) related to employee status changes
- Ability to manage competing demands and accept constructive feedback while being extremely adaptable and flexible
- Conducts or assists with new hire orientation
- Assists with planning and executing special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations
- Performs other duties as assigned by the HR Generalists or Manager
POSITION REQUIREMENTS:
- Education: High school graduate or equivalent with additional business or advanced clerical courses. An associate's degree is preferred.
- Experience: A minimum of two year’s work experience in an administrative capacity.
- Expertise: Excellent verbal and written communication skills. Excellent interpersonal skill with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Excellent organizational skills and attention to detail. Proficient with Microsoft Office Suite or related software programs. Basic knowledge of office equipment. Punctual, reliable, can work independently, self-starter, trustworthy, honest.
