Summary: The HR Specialist provides administrative support to employees and the Human Resources team. Responsible for a full-spectrum of administrative and general HR support, including administrating employee changes, union salary determination, and other critical service functions for managers and employees.

Education and Experience

  • Three (3) years of HR administrative support experience required
  • High school diploma or GED equivalent required
  • Bachelor’s Degree preferred
  • Experience with ADP preferred

Knowledge/Skills/Abilities

  • Understanding of general HR Bodies of Knowledge
  • Strong critical thinking and problem-solving acumen
  • Ability to proactively identify challenges and barriers to stated objective and employ assistance in addressing these
  • Strong collaboration acumen and abilities
  • Demonstration of Emotional Intelligence and professional maturity
  • Proficient and functional knowledge of MS Office (Word, Excel, PowerPoint, Outlook, and Teams)
  • Strong research acumen and abilities
  • Strong communication skills including written, oral, and listening

Essential Duties and Responsibilities:

Operational Excellence

  • Oversees HRIS management ensuring timely and accurate data entry and general data updates
  • Leads onboarding/orientation programming
  • Maintains active and terminated employee personnel files and Form I9 files
  • Provides project coordination support related to departmental special projects
  • Assists with VISA inquiries, applications, and status updates

HR Services

  • Provides positive and proactive front-line employee customer service – providing employees and managers with requested information
  • Assists department in carrying out various Human Resources programs and procedures and provides customer service to employees, contractors and vendors.
  • Acts as primary point of contact for employee and manager related questions and informational needs
  • Addresses general people-related questions including but not limited to monitoring of the departmental mailbox(es) and re-directs as appropriate
  • Performs general administrative support functions for the HRBP’s and HR Leadership Team

Employee Administration

  • Coordinates employee administration: processes employee changes, enters employee data in HR systems, ensures employee/administrative changes have been properly completed in various systems
  • Performs salary determinations for union positions
  • Assists in maintaining data integrity through audit trails and other checks and balances
  • Collaborates with Recruiting and Payroll on various tasks such as new hire paperwork, resolve pay issues and/or coding errors, and timely/accurate reports
  • Other duties as assigned
