BASIC PURPOSE: Provide administrative support for the accounting functions in the Human Resources Department for both ship and shoreside. Tasks include processing and reconciling crew movement-related invoices and union contributions for Norwegian Cruise Line Holdings and processing crew member reimbursements for miscellaneous expenses.

POSITION RESPONSIBILITIES:

  • Calculate and process Norwegian Cruise Line's union contributions on a monthly basis.
  • Liaise with Union representatives concerning contributions and reconciliations of payments.
  • Reconcile and process all crew movement-related invoices submitted to Norwegian Cruise Line Holdings from worldwide vendors.
  • Ensure invoiced services are accurately documented and in compliance with established policies before processing.
  • Ensure amounts charged are in-line with the forecasted amounts.
  • Ensure expenses are recorded to the appropriate GL accounts.
  • Investigate, resolve, and document actual to forecast variances prior to passing invoice on to next level of approval.
  • Diligently follow up on outstanding invoices and vendor queries.
  • Liaise with worldwide port agents, hiring partners, hotels and transportation companies concerning outstanding and expected crew movement expenses.
  • Reconcile vendor aging schedules against company's accounting records.
  • Coordinate and submit documents to Accounts Payable for new and existing vendors.
  • Ensure the proper amounts are charged back to the appropriate concessionaires, if applicable.
  • Support other members of the team through assistance, training, and mentoring, when necessary.
  • Quantify, calculate, and submit to the appropriate Accounting teams the month-end accruals for crew movement expenses.
  • Provide status of weekly invoice backlog and monthly productivity to Management.
  • Perform other job-related functions as assigned.

KNOWLEDGE AND EXPERIENCE:

EDUCATION: Minimum High School Diploma or equivalent required.

EXPERIENCE: 1 year of related experience in Accounting, Payroll, or Human Resources. Experience working with unions, collective bargaining agreements, and employment contracts preferred.

KNOWLEDGE & SKILLS:

  • Experience in PeopleSoft HR/Payroll preferred.
  • Experience in PeopleSoft Financials preferred.
  • Excellent verbal and written communications skills to effectively communicate with team members at all levels and external contacts.
  • Excellent mathematical and analytical abilities a must.
  • Must be detail-oriented and able to work independently.
  • Working knowledge of Microsoft Office Suite with intermediate to advanced level of expertise in Excel required.
