JOB DESCRIPTION
5255 Associate Services Coordinator
PURPOSE OF THIS POSITION
The primary purpose of this position is to provide excellent customer service and support for our internal and external customers. This position will serve as primary point of contact for numerous day-to-day requests, including, but not limited to address and tax changes, basic benefits questions and changes, leave requests, change in status events, and basic payroll information. The ideal candidate for this position will possess excellent customer service skills and act as a liaison between our many customers and other members of the HR Team, referring issues to team members as needed, but with the primary goal of serving the customer immediately whenever possible. This position may also provide additional project support for HR Team members on an as needed basis.
JOB DUTIES & RESPONSIBILITIES
Duty 1: Acts as the 'front line' for the HR team by receiving incoming calls and service requests. Whenever possible, provides immediate answers to questions, and performs transactions regarding general HR services, minimizing referrals to HR specialists.
Duty 2: Assists internal and external customers regarding various HR functions, including open positions, the application process, transfer policies, and other recruiting-related functions, benefits, status change events, etc.
Duty 3: Administers the ID badges and bio-metric process (with Chief of Security) for all associates, students, volunteers, and contractors, ensuring smooth flow of information to various systems as appropriate.
Duty 4: Processes Incoming/Outgoing mail in a timely manner, orders supplies as needed and in accordance with the HR budget.
Duty 5: Maintains HR records and documentation such as confidentiality forms, spreadsheets, verifications of employment, agendas and minutes for staff meetings, and any other documentation assigned by management team.
Duty 6: Responsible for HR financial transactions and records and assist HR team with budget information.
Duty 7: Assists the HR Staff with various projects as assigned and may be asked to manage some projects for the department on an as needed basis.
Duty 8: Identifies potential areas for process improvement, as appropriate, and makes recommendations to the HR Team with the end goal to improve and standardize our services and processes.
REQUIRED
High School Diploma required
Proven organizational skills and ability to multi-task required to handle fast-paced environment
Excellent verbal and written communications skills required
Excellent customer service skills required
PREFERRED
Associate or Bachelor Degree preferred
Past experience in a fast-paced Human Resources Department preferred
Positive presence in person and on phone, with the ability to deal with potentially irate individuals
Maintains confidentiality at all times
PC skills, including familiarity with Word, Power Point, Excel, and email required
PHYSICAL DEMANDS
This position requires a full range of body motion with intermittent bending, squatting, kneeling, and twisting. The associate must be able to sit for three hours, walk for one hour and stand for two hours per day. The associate must be able to lift 20 pounds. The individual must have excellent eye/hand coordination to operate various office machines. This position requires corrected vision and hearing in the normal range.
