Head of Technology Project Management & Optimization Job at Prime Residential
Job Description:
The Head of Technology Project Management & Optimization has overall responsibility for ensuring that Prime Residential’s IT organization is delivering for the business. The Business Relationship/IT Project Management Optimization function is jointly accountable to the IT organization and the Executive Team and is expected to play a key role in identifying and implementing technology solutions that support Prime Residential’s growth, operating efficiency, and competitive advantage, as well as managing demand and project pipeline.
The Head of Technology Project Management & Optimization is responsible for ensuring good IT governance, communications, change management, and business process improvement. The incumbent will oversee the creation, maintenance and delivery against Prime Residential’s IT road map. The Head of Technology Project Management & Optimization will be highly visible to Prime Residential senior management and key stakeholders and responsible for ensuring IT’s performance against the agreed business objectives. This role also owns the overall IT relationship with key line-of-business application vendors (namely RealPage, Knock and others).
Responsibilities include, but are not limited to:
IT Strategies and Road Maps
- Coordinate and effectively communicate the organization-wide IT strategy and road map
- Develop the Business Relationship Management team, ensuring a deep understanding of Prime Residential’s core business; ensure Business Relationship Managers are seen as effective ‘translators’ between the business and the wider IT organization, and as advocates for the business within the IT organization
- Oversee the creation of IT strategies and road maps outlining how IT will partner with each department to deliver on each department’s overall objectives
- Maintain the project research and delivery pipeline and work with designated executives to prioritize projects, document road map items, and establish resource requirements
Program & Project Management
- Formalize Prime Residential’s IT governance and project management framework, and develop clear and effective evaluation and approval processes for various levels of projects and change; ensure that the new framework maintains appropriate flex to enable fast but effective evaluation and decision making
- Support effective IT governance at Prime Residential through creation of transparent project and resources planning tools and effective liaison with the executives responsible for project prioritization
- Ensure Business Case and ROI are developed for all large-scale projects required to support the business’s overall strategy and road map. Present Business Cases and funding/resource requests through the appropriate governance channels
- Oversee effective vendor selection and contract negotiation frameworks/processes
Optimization of Existing Tools
- Manage the BRMs to work effectively with internal stakeholders and existing partners (e.g., Knock & RealPage) to alleviate ‘pinch points’ in existing processes and solutions by reviewing settings, workflow, and existing use of the tools available
- Understand and evaluate product road maps to ensure Prime is taking advantage of new functionality at the appropriate time, and optimize business processes and/or settings to maximize the impact of new functionality available
- Develop relationships with existing providers to lobby and advocate for enhancements that will add value for Prime
- Work closely with Support staff to understand challenges and issues; encourage and foster creative, collaborative problem-solving between operational and support teams
- Attend IT and industry-specific conferences and interface with vendors to understand alternative solutions and industry trends
Process Improvement & Innovation
- Evaluate current processes and workflows and recommend new solutions (e.g., process changes, new software, or new ways of using existing software) to improve operational efficiency and/or financial performance
- Identify opportunities to automate and streamline existing business processes
- Identify ways to leverage new tools such as the Microsoft Power Platform (PowerBI, PowerApps, Flow) to solve business problems
- Work with stakeholders to document requirements, scope solutions, and allocate resources to the development of these solutions
- Ongoing evaluation of Technology Solutions for trending global issues, areas for enhancement, and possible alternative vendors.
Technical Resource Management
- Establish and oversee an effective framework for reviewing technical design and making intelligent build vs buy decisions
- Oversee the productivity of the in-house technical ‘pod’ for custom report writing and ‘low code’ development (e.g. power platform)
- Develop a network of approved outsourced development resources for projects/tasks that cannot be effectively delivered with in-house resource
Other
- Perform any and all tasks as deemed necessary and as assigned by supervisor and/or management.
Requirements and Qualifications:
- Bachelor’s degree in Business Administration, Real Estate, Management Information Systems or related discipline.
- Previous experience with AMSI, MRI, OneSite, and Yardi Property Management software. Experience with OneSite Property Management would be preferable.
- Experience with CRM or contact management solutions, primarily those focused on investors or high value clients.
- Must have experience Multi-Family Industry and a proven ability to grasp complex business problems quickly.
- Must be available to provide after-hours support as needed for staffing needs and emergencies.
- Must be available for travel 10% of the time.
- Proficient with Microsoft Office Suite including Word, PowerPoint and Excel
- Proficient with Office 365 Modern Workplace tools and collaboration concepts (e.g. sharing, syncing, Planner, Forms, Teams, etc.)
- Ability to prioritize and work on several competing tasks at the same time.
- Detail oriented with the ability to document reporting requirements and specifications.
- Excellent communication skills including written, verbal and presentation skills
- Ability to write professional emails, letters, proposals, and training material
