Job Title: Human Resource Assistant - Receptionist

Reports To: Director of Human Resources

FLSA Status: Non-Exempt

General Purpose of the Job: This position is full-time. The Human Resource Assistant reports to the Director of Human Resources. The overall purpose of this position is to provide the administrative support and assistance required by the Human Resource Department and manage the front desk Monday - Friday from 8:30am - 5:00pm.

Essential Duties and Responsibilities

  • General
  • Adheres to all applicable Agency, state and federal policies regarding confidentiality.
  • Interacts with applicants, employees and the general public.
  • Sets up and maintains a variety of reports and databases.
  • Copies, collates, distributes and files information as needed.
  • Uses technology for the completion of specified job duties.
  • Attends work regularly according to assigned work schedule and in accordance with Agency policy.
  • Works cooperatively with others including all staff, supervisors, administrators, co-workers, people served, community professionals, customers, vendors and the public.
  • Performs other related duties as assigned by the Director or designee.
  • Specific – Receptionist duties:
  • Answers all incoming phone calls; providing information as requested; directs caller to appropriate employee extension; provides caller with employee’s direct dial phone number, takes messages as needed.
  • Greets all visitors and clients, determines their needs and directs them to the appropriate employee.
  • Greets applicants and provides them with information regarding the application process.
  • Receives and sorts agency incoming mail. Prepares mail for delivery to programs/departments.
  • Ensures building security by ensuring visitors sign in and receive a visitor badge.
  • Schedules meetings and appointments, including reservation of meeting area, notification of persons required to attend and other duties as required.
  • Opens, reviews, and date stamps all incoming mail and distributes to appropriate person in the department.
  • Supports Recruitment:
  • Uses applicant tracking system to support recruitment efforts as assigned.
  • Conducts phone interviews to screen job applicants to obtain and verify information used to evaluate them.
  • Selects applicants meeting specified job requirements and refer them to hiring personnel/recruiter.
  • Requests information from MSDE, previous employers, and other references to determine applicants' employment acceptability.
  • Assists recruitment efforts with related follow up on new hires during pre-employment onboarding process. Share results and data with Human Resources Generalist Recruiter and Human Resource director as needed.
  • Serves as point of contact for new hires with collecting documentation prior to attending employee orientation. Obtains copies and verifies I-9 documentation from new hires.
  • Provides administrative support of recruitment projects and related services to HR Generalist Recruiter and Human Resource department.
  • Attends and participates in job fairs, community activities, and other public and departmental recruitment-related events.
  • Serves as resource for recruitment policies, procedures, and practices to supervisors, HR staff, and others. Refers to recruiters and other staff as appropriate.

Supervisory Responsibilities: None

Education and/or Experience:

  • One year certificate from college or technical school; or
  • One year related experience and/or training; or
  • Equivalent combination of education and experience.

Language Skills:

  • The ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • The ability to write reports, business correspondence, and procedure manuals.
  • The ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills:

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.

Reasoning Ability:

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Certificates, Licenses, Registrations: None Required.

  • Communication and interpersonal skills, including the ability to interact positively, effectively and diplomatically with internal and external customers.

  • Must be proficient in all Microsoft office applications.
  • Computer skills necessary to produce written communiqués, charts, tables and other documents as required.
  • Ability to organize and file materials in such a way as to facilitate immediate retrieval of information when needed.
  • Develops and maintains general familiarity with work authorization and re-certification process.

Other Qualifications:

Physical Demands:

  • Primarily sedentary requiring use of hands and arms for reaching and typing.
  • Limited walking and standing.
  • Communication and auditory ability required.
  • Minimal lifting up to 25 lbs. Close vision (clear vision at 20 inches or less). Color vision (ability to identify and distinguish colors) Ability to adjust focus (ability to adjust the eye to bring an object into sharp focus).

Work Environment:

  • Indoor office environment.
  • Moderate noise (examples: business office with computers and printers), light traffic.
  • May include video and/or audio monitoring.
