WHAT YOU'LL BE DOING
The Front Desk Administrator is responsible for providing a positive and professional experience for visitors, customers, clients, and potential employees, in person or on the telephone. Performs routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers and visitors.
Responsibilities:
- Performs work that is varied and generally administrative or project-oriented.
- Performs clerical duties such as keyboarding, scheduling, and opening mail.
- Maintains electronic files and produces reports.
- Requires a broad understanding of organization operations, organizational procedures, and personnel.
- Handles confidential and sensitive material.
- Assists in the organization and planning of company events.
- Greets visitors, takes messages as necessary, or transfers calls to appropriate individuals.
- Operates office equipment, copiers, or phone systems and arranges for repairs when equipment malfunctions.
- Coordinates conferences, meetings, or special events.
- Composes, types, and distributes, routine correspondence, or reports, such as presentations or expense, statistical, or monthly reports.
- Updates employee lists, such as the phone list.
- Point person for maintenance for the office and the building.
- Manages company store, online.
- Manages office space changes.
- Arranges conferences, meetings, or travel reservations as needed.
- Opens, reads, routes, and distributes incoming mail or other materials.
- Orders and stocks all office supplies and supplies for the lunchrooms and break areas.
- Conducts searches to find needed information, using such sources as the Internet.
- Performs other duties as assigned by management.
WHAT WE NEED
EDUCATION AND FORMAL TRAINING:
- High school diploma, or equivalent required
- Minimum of two (2) years of general administrative experience required
KNOWLEDGE, SKILLS, AND ABILITY:
- Knowledgeable of Microsoft Office, including Word, Excel, PowerPoint, and Outlook
- Ability to multi-task and prioritize tasks
- Excellent attention to detail
- Excellent verbal and written communication skills
- Ability to handle confidential information
- Ability to demonstrate a high level of professionalism
- Ability to consistently produce high-quality work in an open office environment without becoming distracted
- Excellent administrative skills and knowledge of the organization
