Financial Aid Assistant Job at Navajo Technical University
JOB PURPOSE:
Provides administrative support for financial aid assistance to students. Compiles and maintains students records.
JOB DUTIES & RESPONSIBILITIES:
- Assists students in filling out applications for Financial Aid.
- Collects and/or reviews financial aid applications to determine completeness and eligibility for financial aid.
- Collects documents and consistency of data from students' federal tax returns, financial aid transcripts verification document, and student information.
- Performs data analysis to identify discrepancies in data and determines action for resolution.
- Requests additional information of incomplete or inconsistent applications needs to perform accurate need analysis.
- Answers questions, inquiries, or requests of students, parents, lenders, guarantee agencies, staff in person, in writing or by telephone regarding financial aid eligibility and awards.
- Mails applications, debt management letters, and other documents or forms.
- Maintains accurate student records.
- Assists with data entry for student receivables.
- Performs various clerical duties in support of the office (reception, phones, appointment scheduling, etc.).
- Responds to inquiries and researches and resolves problems related to transactions handled by the department.
- Maintains database of financial aid, files, runs queries and provides reports to supervisor.
- Inputs information, changes, corrections, or new awards into database.
- Ensures strict confidentiality of financial records per FERPA.
- Performs other duties as assigned.

MINIMUM QUALIFICATIONS/REQUIREMENTS:
- Associates Degree in Business Administration, Accounting or related field.
- One year accounting or administrative experience.
- Financial Aid experience preferred.
- Valid state driver's license.
- Must be able to pass background check, with NO prior convictions of any felonies.
The Navajo Nation Preference in Employment Act applies to all hiring, promotions or transfers of individuals into this position.
KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS:
- Knowledge of accounting procedures and financial systems.
- Knowledge of financial aid policies, procedures, and eligibility requirements.
- Records maintenance skills.
- Database management skills.
- Must have excellent Customer Service skills.
- Skill in operating business computers, phone systems, and office machines, including in a Windows environment, specifically Word, Excel, Access, and presentation software (such as PowerPoint).
- Ability to perform simple accounting procedures.
- Ability to process computer data and to format and generate reports.
- Ability to prepare routine administrative paperwork.
- Ability to sort, check, count and verify numbers.
- Ability to meet strict time lines.
- Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.
- Ability to maintain confidentiality.
- Ability to handle multiple tasks and meet deadlines.
- Ability to carry out instructions furnished in verbal or written format.
- Ability to communicate effectively in the Navajo and English language.
- Ability to work as a team member in a structured working environment.
PHYSICAL DEMANDS:
- While performing the duties of this job, the employee may be required to sit for prolonged periods, walk and stand.
- Use hands for dexterity of motion, repetitive movement of both hands.
- Have normal auditory, visual acuity, and verbal communications skills.
- The employee must occasionally lift and/or move up to 15 pounds.
WORK ENVIRONMENT
- Work is generally performed in office setting with normal noise levels.
- Tight time constraints and multiple demands are common.
- Evening and/or weekend work may be required. Extended hours and irregular shifts may be required.
