Axle is seeking a highly ambitious, adaptable, structured, and detail-oriented Facilities Management Assistant to join our vibrant team at the National Institutes of Health (NIH) supporting the Clinical Center (CC) located in Bethesda, MD.
Overall Position Summary and Objectives The purpose of this position is to support Medical Research Scholars Program (MRSP) residents residing in Building 60 located on the NIH Bethesda Campus. The incumbent will provide Building 60 Apartment and maintenance request oversight and serve as the liaison between Office of Research Facilities (ORF), MRSP Administrator(s), and MRSP residents.
Deliverables:
- Communication and Support for Participants in the Medical Research Scholars (MRSP) Program
- Organize the move in and move out process for incoming and outgoing MRSP participants
- Assigns apartments for participants residing in NIH Building 60 apartments based on arrival dates and type of apartment
- Develops schedule for arrivals and departures
- Review and update housing agreement
- Serve as the liaison between MRSP participants and the Office of Research Facilities
- Review both the MRSP maintenance SharePoint site and ORF maintenance dashboard to ensure all reported maintenance issues are dictated in the ORF maintenance dashboard
- Communicate with MRSP participants to provide regular follow-up regarding the status of maintenance repairs
- Communicate with MRSP participants in advance of any building evacuation drills and shutdowns related to plumbing, hvac, etc.
- Ensure MRSP maintenance SharePoint site is up to date with status of maintenance repairs - Daily
- Building 60 Apartment and Maintenance Oversight
- Maintain and organize all apartment data, including but not limited to: apartment type, appliances, furniture, occupancy
- Perform apartment walkthroughs prior to MRSP participant arrival to identify needed repairs
- Perform apartment walkthroughs at the time of MRSP participant departure to ensure participants have maintained apartments in accordance with the housing agreement
- Meet with ORF representatives regularly review, evaluate and develop effective processes to ensure timely completion of maintenance repairs and response to emergent situations
- Coordinate with ORF for apartment and program MRSP common area maintenance repairs
- Coordinate with ORF for fire-alarm inspections, smoke detector tests, and apartment feasibility studies
- Coordinate with Pest Management to resolve any insect or rodent issues reported by MRSP participants
- Schedule and maintain housekeeping services performed by cleaning company. - Daily
- Serves as Liaison between Office of Research Facilities (ORF), MRSP Administrator(s), and MRSP Participants
- Provides regular updates to MRSP Administrator(s) regarding any housing related concerns
- Reports any communication difficulty between MRSP participants and/or ORF
- Notify MRSP Administrator(s) of any emergent maintenance issues within Building 60
- Communicate with MRSP Administrator(s) to share daily summary of housing and maintenance tasks - Daily
Work Details:
- Assists with determining location, square footage and assigned use of space.
- Uses software program to color code each space by assigned use.
- Prepares reports including assigned use of space, list of current occupants, equipment, furniture layout and finish boards.
- Maintains inventory of all residential assignments and prepares reports to indicate apartment occupancy
- Maintains spreadsheet indicating space data, use type and square footage.
- Maintains spreadsheet that details apartment type, furnishings, appliances and accessories
- Assists with surveying space areas and records location and use of all phone and LAN outlets.
- May triage incoming requests for facility maintenance.
- Interface with building maintenance personnel to correct wide range of electrical, mechanical, plumbing, and facility problems.
- Review SharePoint site for incoming apartment maintenance requests from residents
- Enter maintenance requests into the Office of Research Facilities maintenance system
- Coordinate with Office of Research Facilities and residents to schedule times for repairs
- Assures the optimal function of building systems in areas.
- Determines location, square footage and assigned use of space.
- Coordinates work flow of office and off-site work areas.
