Position Details:

Executive Assistant, Full-time, Monday - Friday, 8 hour shifts.
Non-exempt, Hourly, Non-Union

Position Summary:
Assistant to President. Provides clerical and administrative assistance requiring independent initiative and overall knowledge of the organization’s operations and responsibilities. Act as the point of contact between the manager and internal/external clients. Screen and direct phone calls and distribute correspondence. Make travel arrangements and devise and maintain office filing system.

Experience:
Minimum five (5) years of administrative experience preferred. Experience working for/with executive-level staff members required and other leadership. Previous experience providing support to upper management & related skills required for education waiver. Previous experience in hospital setting preferred.

Skills:
Proficiency with Microsoft Office Suite, preferred. Must be able to read, write and modify contracts. Take and transcribe meeting minutes. Ability to efficiently perform duties with minimal supervision and within designated deadlines. Ability to retrieve, communicate and present data and information both verbally, in writing and through presentation. Ability to express or exchange ideas by means of the spoken and written word using the English language. Ability to use independent judgment to plan, prioritize, and organize diversified workload/projects. Detail oriented. Must be able to interact and communicate with individuals at all levels of the organization. Maintain confidentiality.

Job Knowledge:
Must be able to work with little or no supervision and have the ability to make good decisions. Excellent administrative, and organizational skills, composition, spelling, and punctuation skills are critical. Proficient computer skills. Must be personable, work well with others, respect an employee’s rights to privacy, all policies, including HIPAA. Must have a positive attitude, be able to multi-task and pay close attention to details, and be able to act in a professional manner, with excellent public relations skills. Must follow dress code policy and conduct themselves in professional manner at all times.

Some of the duties responsible for:

  • Pay personal bills
  • Schedule travel flights, hotels, cars
  • Buy gifts
  • Prepare documents for signing
  • Assist with personal homes and VRBO’s
  • Schedule travel arrangements for kids
  • Update personal financial info
  • Coordinate appointments/ calendar
  • Schedule kids/family doctors, dentist etc. appointments
  • Return packages/ items
  • Monitor school calendars and make sure president is scheduled and attends functions
  • Schedule family vacations
  • Provide monthly expense reporting personally and professionally
  • Support health insurance resources and manage Billings and payments
  • Prepare for scheduled business meetings
  • Provide reminders
  • Plan and schedule investor lunches, dinners and outings
  • Pick up dry cleaning if needed
  • Manage personal calendar
  • Track airline miles, hotel points, credit card points etc.
  • Schedule vehicle services
  • Track insurance policies

Oregon Notary Public preferred

Job Type: Full-time

Pay: $25.00 - $30.00 per hour
