The Executive Coordinator plays an integral role in supporting the success of the organization by providing a variety of administrative services to our executive team in a highly collaborative, fast-paced and service-oriented organization. This individual will thrive in a team environment, provide excellent customer service, possess a high degree of self-confidence and executive presence, exercise discretion and diplomacy in all interactions, have the ability to proactively anticipate and manage challenges, be a self-starter with strong abilities to manage multiple responsibilities and prioritize appropriately, work efficiently and remain flexible to changes in schedule and work hours (including flexibility to work overtime as required). This individual must have a high level of attention to detail, excellent organizational skills, advanced level proficiency with Microsoft Office (ie Outlook, Word, PowerPoint, Excel, Adobe, SharePoint and Teams), and the ability to effectively and professionally collaborate with senior leaders and peers.

Expected administrative activities include time and expense management, drafting correspondence and reports, managing executive calendars, scheduling, project and meeting coordination, creating presentations, research, and supporting organizational events.

Duties and Responsibilities
  • Provide executive-level support to the CEO, CFO, COO and VP of HR with a high degree of initiative, judgment and the highest level of discretion;
  • Responsible for day-to-day management of executive calendars and activities to ensure high value time utilization in relation to external and internal requirements;
  • Identify, prepare and compile necessary materials ahead of time to ensure that the CEO, CFO, COO and VP of HR have appropriate information for meetings, reports, presentations, events and special projects on the calendar;
  • Establish and maintain a strong working relationship with the Executive Assistant, who coordinates all travel and catering activities;
  • Identifies and proposes opportunities to provide additional support in alignment with needs and personal skills and talents;
  • Responsible and accountable for managing work and projects, demonstrating management and leadership abilities to maintain momentum and move work forward intuitively;
  • Researches, retrieves, and compiles information; assembles information including, but not limited to, forms, documents, expenditures, contact lists, and project timelines; follows up with team members as needed;
  • Prepares complex documents, emails, correspondence, reports, and/or presentations from notes and/or general direction;
  • Collaborate with appropriate business partners to format, edit, proofread and coordinate printing of documents such as presentations, policies, and other deliverables as required;
  • Provide Outlook calendar support, including creating, updating, and rescheduling meeting invitations; responsible for identifying and resolving scheduling conflicts;
  • Coordinate and provide virtual administrative support by applying advanced technical skills and knowledge to use business applications, tools and processes to effectively share and complete work as a team in a seamless, efficient manner;
  • Manage and prepare expenses and submit reports in Concur;
  • Works evenings and weekends as necessary;


Required Skills/Abilities:

  • Excellent written and verbal communication skills
  • Excellent Organizational Time Management skills
  • Advanced proficiency in Microsoft Office Suite and similar software
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to speak effectively before groups of customers or employees of
  • Must be able to maintain effective working relationships with employees, peers, and Managers in other departments
  • Must be willing to work off-hours as specific needs dictate and willing to assume more responsibility as required
Education/Experience:
  • Bachelor's degree or equivalent.
  • 4+ years of progressively responsible administrative support experience, including some experience in providing administrative support to executive level individuals;
  • Exceptional interpersonal, customer service and writing skills
  • Technologically savvy with the ability/desire to learn new tools and improve efficiencies to keep the office running smoothly
  • Advanced proficiency in MS PowerPoint to create high quality presentations for meetings is a plus
Travel Requirement:
  • 10% (4 hours a week)
Physical Requirements:
  • Position is Sedentary and desk bound
  • Prolonged periods of sitting at a desk and working on a computer
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus
  • Occasionally required to climb or balance and stoop, kneel, crouch, or crawl
  • Occasionally required to lift and/or move up to 25 pounds


Working Hours:
Weekdays (Monday through Friday), 8 a.m. through 5 p.m. (or variable as required).

Pay Range:
$80,000 - $100,000
