Executive Assistant to the Dean - Part-Time

JOB SUMMARY:

The Executive Assistant sets the tone for the College and creates a professional and welcoming atmosphere for the students. The EA has full responsibility for the daily functioning of the office, including ordering and maintaining supplies, record-keeping, coordinating cultural event administration, and answering/directing basic student, applicant, faculty and staff queries.

REPORTS TO: Dean of the Honors College

RESPONSIBILTIES & DUTIES:
  • Manage accurate database of all Honors students.
  • Manage the budget for the dean, monitor expenses and payments and have an accurate sense of funds spent and available.
  • Liaise with the Purchasing Department and other finance offices on campus to procure supplies and reimburse expenses per the procedures outlined in the FARG.
  • Event coordination (procurement of tickets, advertisement of events, administer student access to events, maintain events calendar, coordinate tea-times, etc.) .
  • Using EAB Navigate set calendar appointments for advising for deans.
  • Support admissions interview planning, manage family and applicant inquiries, correspond with admitted students.
  • Coordinate alumni record-keeping and outreach.
  • Manage the space: keep the suite tidy, ensure classrooms, offices and restrooms are in working order, placing work order tickets as necessary, restock paper and toner, and order supplies and provisions for programs.
  • Academic coordination: Using eSAAS and Curriculog, enter courses into the system each semester; coordinate book orders and room assignments, process grade change forms and distribute schedule forms to students as needed.
  • Contribute to Honors College social media.
  • All daily paperwork for business of college including correspondence, admissions work, book orders, record-keeping, ordering office supplies, budget transfers, etc.
  • Keeping appointment calendars for Dean and Associate Dean.
  • Coordinating sign-ups and tickets for cultural events and activities.
  • Regular staffing of Honors College office; providing a cheerful and welcoming reception to all.
  • Responding to phone inquiries from current students, faculty, applicants, etc.
  • OPTIONAL: Helping with admissions interviews on Saturdays (overtime).

REQUIREMENTS (Knowledge, Skills and Abilities):
  • Must have acute attention to detail for accurate record keeping and correspondence.
  • Comfortable drafting correspondence and managing document flows.
  • Ability to manage college office: ability to prioritize and organize tasks a must.
  • Ability to process paperwork for budget.
  • Learn computer systems to organize data and appointments; should have working knowledge of Microsoft Office suite, mail merge, and Gmail suite.
  • Excellent interpersonal skills to deal with 300 students and parents as well as faculty and staff; familiarity with standard office etiquette and professional communication.
  • Friendly and supportive demeanor and a willingness to assist students

EDUCATIONAL/EXPERIENCE REQUIREMENTS:
  • An Associate's Degree or higher is preferred.

HOURS:
  • 25 hours per week.
  • On-campus 4-5 days per week (some remote work possibility).
