Executive Assistant to the Chief Financial Officer - Crane NXT Job at Crane Co.

In March 2022, Crane announced that it will separate into two independent, publicly traded companies in early 2023. This role is part of Crane NXT, a premier Industrial Technology business with substantial global scale and presence that delivers automation, security and productivity solutions to customers in the payment and currency markets.

Based in the Company’s Stamford, CT office, the Executive Assistant will provide executive administrative support for the SVP and Chief Financial Officer of the company and provide office management services in support of the Stamford office associates.

Responsibilities and Duties:

  • This position involves strong partnership with the senior executive and managing a complex calendar that includes scheduling meetings and travel, video conferences, off-site and internal events for the SVP and team
  • Administrative responsibilities will include, but are not limited to, the following:
    • Serving as a first point of contact for the senior executive and developing systems to prioritize the executive’s time and activities
    • Providing appropriate materials to prepare the senior executive in advance of meetings
    • Drafting correspondence and memoranda, editing meeting minutes, creating PowerPoint slides, answering, and screening the senior executive’s phone calls and directing inquiries to the proper party within the team
    • Making travel arrangements (airline and hotel reservations) and processing expense reports
    • Coordinating timely receipt of Board and Audit Committee materials from responsible parties, reviewing, and coordinating delivery to Board members
    • Managing the office services function with appropriate facilities representatives including safety and security protocols, and maintenance of the copy room, office supplies, and pantry.
    • Creating PowerPoint presentations and assisting with maintenance of various Excel spreadsheets and other documents as needed
    • Preparing event and meeting materials including assisting with the creation of presentations, handouts, and other related materials, as well as printing and collating of materials for the Finance team, the Senior Leadership team, and the Board of Directors
    • Establishing and maintaining effective cooperative professional business relationships with all levels of management, employees, and outside clients
    • Acting as a creative problem solver, liaison, and facilitator in managing support responsibilities
    • Acting as a lead on the facilitation and coordination of communications and administrative procedures across the enterprise Finance team
    • Coordinating conference/meeting room set up, ordering catering, and coordinating meeting logistics
    • Providing back up assistance to other administrative support team members as needed

Basic Qualifications:

  • Must have proven experience supporting a senior executive in a fast-paced and demanding corporate environment

Preferred Qualifications:

  • Bachelor’s Degree, preferably in Finance, and 5 to7 years of relevant professional experience supporting a C-level executive in a global public company
  • High energy, self-motivated individual who can prioritize, work independently when needed, and gather necessary information to make informed and sound decisions and recommendations
  • Demonstrated professionalism, discretion, and experience working with highly confidential information
  • Can-do attitude: must be proactive and solution oriented, continuously looking for ways to add value
  • Exceptional attention to detail
  • Demonstrated ability to multi-task, respond to needs quickly and efficiently
  • Ability to effectively communicate and collaborate with a diverse range of associates at all levels and across all functions
  • Excellent judgment in setting priorities and interacting with internal and external contacts; proven record of sound decision making
  • Demonstrated ability to anticipate the needs of the senior executive and the team and operate proactively
  • Ability to work well under pressure and respond to tight deadlines
  • Excellent interpersonal, verbal, and written communication skills
  • Strong focus on customer service, team player mentality and ability to work collaboratively with others
  • Significant experience with all Microsoft products including PowerPoint, Excel, Word, and Outlook; capability to learn other applications such as Diligent (Board platform) and Concur (travel and expense management)
  • Experience with organizing off-site events for small and large groups

Physical requirements:

  • This position will be performed in an office setting, and will require the candidate to sit and stand at a desk, communicate in person and by telephone, frequently operate standard office equipment such as telephones, computers, photocopy machines and postage machines
  • Reach with hands and arms, and be able to bend and lift up to 25 pounds
