An Executive Assistant provides clerical and administrative support to the Senior Vice President(s) for the Hawaii region. You will be responsible for driving company success through performing the following tasks to the highest standards:
Demonstrates excellent interpersonal communication skills and confidentiality in the handling of incoming telephone calls and correspondence. Demonstrates strong organizational skills in a fast-paced work environment.
Develops a general understanding of the business to provide administrative assistance and support. Maintains a professional appearance and demeanor.
Supervises project/event targets and results and executes assigned tasks.
Takes and transcribes minutes and generates reports. Schedules appointments and meetings.
Arranges business travel, reconciles expense reports, and builds streamline processes and procedures.
Maintains an orderly office; office supply, filing system, faxes, photocopies and distributes mail as required.
Anticipates needs of regional leadership and takes appropriate action.
Carries out all reasonable requests by management of which the employee is capable of performing.

What are we looking for?
To fulfill this role successfully, you have the following minimum qualifications and experience:
3+ years of administrative and/or office work experience.
1+ year of experience in customer service.
Ability to interact and communicate effectively with all levels of customers/guests, managers and executives.
Strong interpersonal skills and attention to detail.
Ability to work a flexible work schedule and travel as required for business needs.
Proficient with MS Office (Outlook, Word, Excel).
High school diploma or equivalent.
It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:
4+ years of clerical and/or office work experience.
Sales/Marketing Administrative experience in the timeshare industry.
Proficient in Japanese and English.
Proven track record to resolve customer service-related issues in a timely manner.
Experience with Visio or other project management software.
