Nature and Scope:

Reporting directly to the Executive Team, the Executive Assistant provides executive support and serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Executive Team. The role requires the qualified candidate to be creative and enjoy working within a small, entrepreneurial environment that is results driven. The role also requires the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Specific Job Responsibilities & Duties:

  • Complete a broad variety of administrative tasks that facilitate the Executive Team’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports; composing and preparing correspondence that is confidential.
  • Plans, coordinates, and ensures the Executive Team’s schedule is followed and respected. Provides
  • "Gatekeeper" and "gateway" role, for direct access to the Executive Team’s time and office.
  • Communicates directly, and on behalf of the Executive Team with others.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those sensitive or confidential. Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between the Executive Team’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with the senior management team.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the Executive Team’s ability to effectively lead the company.
  • Prioritizes conflicting needs; handles matters expeditiously, and proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Participates as an adjunct member of the management team including assisting in scheduling meetings and attending all meetings. Assists in coordinating the agenda of management team meetings and off-site meetings.
  • Provide event management support as requested.
  • Other projects/duties as assigned for the overall benefit of the organization.

Key Skills Requirements:

  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
  • Strong verbal and written communication skills.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people.
  • Make appropriate, informed decisions regarding priorities and available time.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Ability to react appropriately to situations and events that require quick response or turnaround.
  • Able to maintain high integrity and discretion in handling confidential information.
  • Excellent judgment is essential.
  • Ability to switch gears at a moment’s notice.

Qualifications:

Bachelor’s Degree in Business and or Public Relations, or equivalent experience required.

  • Ability to work both remotely and onsite
  • Ability to understand and effectively communicate in the English language
  • Successful completion of a substance screening and background check
