ICF is seeking an Executive Assistant & Operations Support Specialist with exemplary organization skills and attention to detail to support the operations of a Department of Defense (DoD) client in Washington, DC Metro Area (i.e., the DMV). A member of a diverse team of administrative personnel, mental health professionals, and executive leaders this position will work directly with client leadership to ensure the ongoing and timely execution of the client’s operations and adherence to DoD processes and procedures. As one who directly supports executive leadership, this position requires a highly organized and immediately responsive professional with excellent interpersonal and communication skills.
Key Responsibilities:
This position will support a variety of general administrative, operations, and office management support duties, to include, but not be limited to:
  • Keeping executive leadership updated on the real-time status of activities, assignments, and taskers; and facilitating the communication back from executive leadership to the task owners
  • Managing the process whereby mental health professionals submit research presentations, abstracts, publications, or blogs to executive leadership for approval
  • Coordinating with fellow team members to collect input to develop a monthly all-hands meeting slide deck
  • Coordinating with fellow team members to collect input and develop monthly progress reports
  • Working with executive leadership to keep calendars, schedules, meetings, and commitments continuously current and updated
  • Tracking the status of client taskers and executive communications
  • Helping to prepare executive level correspondences, reports or other documents by gathering information from multiple sources
  • Coordinating and managing staff calendars using MS Outlook
  • Maintaining e-mail distribution lists in MS Outlook
  • Scheduling, planning for, and supporting logistics for meetings (meeting room set up, open audio lines, initiating VTC, printing/distributing materials) and producing notes/minutes as necessary
  • Coordinating with other administrative/operations support staff and DoD divisions within the parent organization to gather information for deliverables
Mandatory Qualifications:
  • Bachelor's degree in Management, Business Administration, Operations Research, or related field
  • 2+ years of directly relevant / similar work experience (general administrative and clerical duties in an office setting)
  • 2+ years demonstrative strong organizational and interpersonal skills with the upmost of professionalism in working as part of a diverse team of executive leaders, operations staff, administrative professionals, and mental health experts
  • Ability to demonstrate a track record of immediately responding to support requests
  • Ability to demonstrate a track record of delivering a responsibility no later than the due date.
  • Ability to demonstrate a very strong eye and attention to detail to ensure communications are direct, succinct, unambiguous, complete, and free of grammatical errors (written and verbal)
  • Hands-on experience with MS Office suite.
  • 2+ years maintaining and managing distribution lists and calendars using MS Outlook
  • Prior experience working independently while maintaining close communication and collaboration with others.
  • US Citizen

  • Experience supporting DoD operations
  • Working knowledge of cultures, people, and communication styles across the range of services in the DoD and hierarchical levels.
