Executive Assistant/office Manager Job at All States Materials Group

Position Summary:
This is a high-level executive assistant/ office manager position. There will be a short transition from our Sunderland office to our new executive offices in West Springfield MA. The incumbent will perform a variety of high level administrative and accounting tasks in support of the President and other executives. This person will serve as the office manager ensuring that the office building is kept in top condition and running efficiently.
Essential Functions:
Performs any functions necessary, within scope of authority and expertise, to provide the highest level of service and responsiveness to both internal and external customers. Recognizes the need for discretion with regard to highly confidential company information.
- Maintain executive calendar, coordinate business travel and meeting arrangements.
- Answer employee, vendor and other outside requests and concerns.
- Interact with office visitors and direct them to the appropriate person they are meeting.
- Answer phone calls, take messages and direct them to the appropriate person.
- Maintain conference room scheduling and assist with meeting preparations and supplies.
- Manage office mailings and supplies.
- Assist executives with completing expense reports.
- Assist and coordinate donation and sponsorship requests.
- Special projects
- Other Duties as assigned.
Work Conditions
Office setting with controlled temperature and minimal noise. Incumbent must be able to sit for extended periods of time and tolerate working at a computer for the majority of their work duties.
