The Executive Assistant for the VP of Advancement shall be responsible to the VP of Advancement. The duties and responsibilities of the Administrative Assistant shall be, but not limited to, the following: 1) Coordinates and oversees administrative/technical duties for the office; researches and composes public information documents and or documents and/or correspondence for review/signature; creates, edits, proofs, and distributes fall, spring, and summer scholarship data; assists with articulation agreements and grade process; prepares selected correspondence, manuals, reports as directed; reviews and checks documents and records for accuracy, completeness, and conformance with applicable rules and regulations. 2) Prepares and/or assists in the preparation of agendas, notices, minutes, announcements, applications, resolutions and other documents. 3) Performs administrative support duties the office such as maintain meeting calendars and making travel arrangements; sorting and distributing and activities; recommends actions and modifications as appropriate. 4) Maintains records of the office and associated college/departmental expenditures; maintains and balances operational budget and prepares office budget estimates; collects and compiles statistical, financial, and other information for special or periodic reports; prepares fund requests and correlates scholarships, including the following: 1) Oversees the operation of the office and makes recommendations for efficiencies; maintains complex filing systems; monitors effectiveness of current office procedures and determines the need to change procedures to meet college goals/needs; writes office management procedures; provides guidance to support staff including training, assigning work and monitoring performance. 2) Thank you letters to all Foundation donors - written, copied and filed 3) Send mail, retrieve and distribute mail 4) Copy and file all bank deposits documents 5) Complete minutes for all Foundation Board and Committee meetings 6) Schedule all meetings, whether via Zoom or book rooms. Send out meeting invites, check for quorum, order lunch 7) Complete VISA statements for all personnel within Foundation and Marketing 8) Update Raiser’s Edge data 9) Order supplies for office, paper, folders, etc. 10) Order stationary supplies for EOY Plea, Golf Tournament, etc. 11) Keep up inventory of Foundation ‘give-away’ items 12) First point of contact for Foundation, keep and deliver messages 13) Support the G.O. Bond efforts every other year, by scheduling appointments for NMJC President, ordering marketing supplies 14) May serve on various campus committees as assigned. 15) Work with Financial Aid to hire a work-study for the Foundation, supervise and coordinate workflow for work-study assistant 16) Performs other duties as assigned or required. 17) Nothing contained herein shall limit the President in assigning the employee to any of the various college activities for which he/she would be qualified in order to meet the needs of New Mexico Junior College.

Qualifications

High school diploma or equivalent. Preference: Associate’s Degree. Four (4) years of clerical or office experience; OR an equivalent combination of education, training, and experience. May require possession a valid State of New Mexico or Texas driver’s license.
