Skills and Experience:

Yates Construction is seeking an organized construction administrative assistant to support our project site with clerical and administrative tasks. The ideal candidate will have great computer, communication, and time management skills. Previous experience in the industry is helpful, but not required.

Requirements:

  • Advanced knowledge of Microsoft Office (Outlook, Word, PowerPoint and Excel) and Virtual Meeting platform Zoom
  • Effective communication skills both verbally and in writing with colleagues, clients, and individuals inside and outside the Company.
  • Excellent communication, teamwork and organizational skills
  • Thrives in a fast-paced, demanding team environment
  • Ability to effectively manage time, prioritize tasks, and work within deadlines
  • Demonstrates a proactive attitude and a willingness to take on additional project work
  • Adapts to changes quickly and can learn adopt new technologies and be flexible with new systems, tools and processes
  • Demonstrates ability to be proactive, take initiative, exercise good judgment, discretion and confidentiality in all tasks, effective problem-solving skills
  • Organizational skills required.
  • Two (2) – four (4) years of Administrative Experience
  • Associates Degree in business is preferred.

Essential Job Duties:

  • Manage meetings (e.g. document meeting minutes and manage action items)
  • Plan, organize and manage calendars
  • Arrange travel schedules and reservations
  • Manage logistics, collaborate with cross-functional partners and formalize event content for special and large-scale events
  • Manage and reconcile expense reports
  • Order Office Supplies
  • Maintain file systems
  • Process and distribute mail activities, including sending UPS and FedEx
  • Make copies of correspondence or other printed matter.
  • Perform timekeeping for the project
  • Hiring/Onboarding
  • Process paperwork on site
  • Maintain an advanced degree of confidentiality along with excellent judgement, discretion and a high degree of maturity/professionalism
  • Apply judgment with full understanding of urgency and priorities of the business, routinely needing to multi-task with little to no direction
