Executive Administrative Assistant
We are seeking an intelligent and ambitious individual interested in an exciting and challenging position as an Executive Administrative Assistant. This position will report directly to and assist the Executive Management team. The ideal candidate will be experienced in handling a wide range of both administrative and executive level tasks, often simultaneously, at any given time. Must be a self-starter that can work independently with little to no supervision. This person must be exceedingly well organized with the ability to accurately prioritize tasks and projects as they are assigned, with exceptional time management skills. Strong decision-making ability and attention to detail are crucial to this role. This position is full time. We offer competitive salary with a full benefits package.
Primary Responsibilities Include:
- Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings
- Screens, handles or distributes incoming phone calls and complaints
- Responsible for performing advanced, diversified and confidential secretarial and administrative duties, requiring broad and comprehensive experience, skills, and knowledge of the organization and its policies and practices
- Maintains confidential correspondence and general files, including incoming and outgoing electronic communications on behalf of the Executive Team
- Makes arrangements for meetings/presentations, coordinating catering and venue or meeting location
- Compiles information for reports, documents and proposals. Collates and assembles materials. Researches, verifies and prepares reports and documents
- Reviews and summarizes miscellaneous reports and documents
- Reconciling and submitting expense reports per Company policy and procedure for the Executive Team
- Prioritizes and manages multiple projects simultaneously, and follow through on issues in a timely manner
- Coordinates travel plans and reservations for Executive Management as needed
- Utilizes various software packages, such as spreadsheet, word processing, database and graphics to produce high quality reports, presentations and documents.
- Ability to work well with all levels of internal management and staff, as well as outside clients and vendors
- Strong interpersonal communication, both written and verbal, is an essential skill necessary to fulfill the requirements of this position
- Must be able to work in a fast-paced environment, often under pressure, while being flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality at all times
Key qualifications include:
- 1 to 3 years of office administrative support experience, prefer Real Estate, Construction industry experience
- Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under pressure.
- Proficiency in use of Microsoft Office applications (Word, Excel, Outlook, PowerPoint, Visio)
- High school diploma or equivalent
- Some applicable college courses (Preferred)
Physical requirements:
- Prolonged periods of sitting (up to 7 hours) at a workstation operating a PC
- Occasional travel may be required
- Focusing/looking at computer monitor for long periods
- Reading documents in print and electronically
Physical Requirements:
This is primarily a sedentary position. May be required to occasionally bend, stoop, reach, lift, move and carry office materials and supplies weighing 25 pounds or less. Finger dexterity is required to operate a computer keyboard.
Must be authorized to work in the United States.

Pay: $65,000.00 - $70,000.00 per year
