Mission:

Quantum is currently seeking a highly qualified individual to provide support as an Executive Administrative Assistant to serve in support of the Assistant Deputy Chief of Staff (ADCS) Army G-4 (Logistics) at the Pentagon in Arlington, VA. This position will support daily in the following capacity:

Responsibilities:

  • Must maintain a SECRET clearance to access SIPR and SIPR E-mail. May be required to print and store SECRET, FOUO, and Sensitive Documents for use by the Asst Deputy Chief of Staff G-4 and the Deputy Chief of Staff G-4.
  • Provide administrative support for the Assistant DCS, G-4 (ADCS, G-4); this will include, but is not limited to calendar support, correspondence support, providing reminders that support staff action compliance, supporting daily accountability of Directorate personnel, and creation of travel orders in the Defense Travel System (DTS).
  • Perform duties similar to that of a Staff Action Control Officer (SACO) such as tracking and maintaining control over Directorate formal tasks and ensuring appropriate coordination of responses within and outside the organization. Provide reminders supporting compliance of these staff actions. Perform actions in the TMT system as required.
  • Support the ADCS G-4 by tracking and coordinating tasks and ensuring tasker timelines are met.
  • Collect and review Directorate level reports, summaries and correspondence for format, content, and compliance with published guidance and Army correspondence regulations AR 25-50.
  • Review Action Officer products being forwarded to the Director. Products will be reviewed for proper formatting, readability, tense (active voice), and grammar as documents will be signed by G-4 senior leadership.
  • Track the status of mandatory training requirements to support timely compliance. Track administrative requirements such as requirements related to the civilian personnel system inputs (Job descriptions, goals and objectives, counselling's, evaluations, Individual Development plans (IDPs) to prescribed timelines. Provide support to similar data keeping as directed.
  • Publish or modify via administrative updates to Directorate files and postings on SharePoint to include the organization and maintenance of Directorate files on the G-4's electronic shared drives.
  • Assist with the planning, preparation, coordination, and setup of Directorate level meetings, video teleconferences, and conferences. Develop and coordinate meeting documents such as agendas and meeting minutes.
  • Participate in the weekly DCS, G-4 Executive Officer meetings and attend any other required meetings as directed.
  • Plan, track, create and modify all calendar items as directed by the Director, working with Directorate representatives and others within and outside the organization. Provide the calendar daily or as requested by the Director.
  • Develop within 90 days after contract award and thereafter maintain a Continuity Book that establishes business rules, guidelines, procedures, and points of contact.

  • Must be able to work within a team environment, as well as independently.
  • Must be able to communicate effectively with team members, government personnel, and senior Army leadership.
  • Strong work ethic and ability to multi-task/manage multiple priorities.
  • Experience working with and support the highest of senior leadership members is required.
  • This is a very high visibility position - professionalism and confidentiality of sensitive matters is required.

Education:

  • A Bachelor's degree is required.

Clearance:

  • Active Secret security clearance required.
