Job Title: Executive Administrative Assistant

Job Responsibilities:

  • Provide CEO administrative support to ensure efficient operation of the Fzata office.
  • Assist with operations, such as shipping and ordering, arranging equipment maintenance or repairment, maintaining inventory, etc.
  • Contribute administrative support to HR management and accounting management
  • Provide assistance with grant application submission management and compliance.
  • Support team meetings scheduling and communications.
  • Assist with company website and social media maintenance.
  • General secretarial/clerical tasks including management of calendar, filing of monthly expense reports.
  • General support, ordering supplies, good office management practices, etc., to ensure a well-functioning environment.
  • Scheduling domestic multi-leg travel.
  • Supporting communication coordination and collaboration across the organization.

Job Skills and Qualifications:

  • Bachelor or Associate degree or certifications
  • Minimum of 2 years Administrative Assistant experience
  • Excellent team player
  • Excellent interactive, listening and communication skills, verbal and written. Demonstrated ability to effectively interact with executives and internal/external clients
  • Strong organizational and management skills
  • Outstanding attention to detail, critical thinking, and creative problem-solving skills
  • Demonstrated ability to rapidly learn new skills, continuous improvement mindset
  • Proactive, approachable. High personal integrity, credibility and energy
  • Advanced computer skills using Microsoft Office Suite
  • Processing of Expense Reports; Purchase Orders and Payment Requests is highly preferred
  • Biology, accounting or IT background is a plus
