DEPARTMENTAL SUMMARY: The St. Charles Health System's Epic Connect Program is an Information Services division under the direction of the Vice President of Strategy, Vice President of Population Health and Vice president of Information services. In pursuit of our St Charles Vision - Creating America's healthiest community, together, the St. Charles Health System's Epic Connect program evaluates, establishes, and maintains partnerships with physician practices and hospital organizations by sharing the use of the St. Charles Health System's Epic integrated EHR for the purpose of establishing a regional shared patient record. The St. Charles Health System's Epic Connect Program provides better care for the collective patients we serve, strengthens our collective ability to serve the community and the region and manages costs by sharing resources and creating common practice standards across the St. Charles Health System's Epic Connect community.
POSITION OVERVIEW: The St. Charles Health System's Epic Connect Analyst 2 under general direction, participates on cross functional, integrated teams across St. Charles Health System's, affiliate partners and vendors to plan and execute all work tasks for installing, stabilizing and optimizing community connect affiliates. Effectively translates business requirements and problems appropriately into people, process or technology solutions. They coordinate all discovery, decisions and configuration for one or more applications and conducts the design, build, testing, adoption and deployment of the Epic Electronic Health Record and third party systems for connect affiliates. The Connect Analyst will expertly know the EHR's capabilities, limitations and function and apply their knowledge of best practice Patient Care and Business workflows to configure and maintain a standardized system build based on Epic foundation and St. Charles Health System's Connect Guiding Principles.
This position does not directly manage any other Caregivers.
ESSENTIAL FUNCTIONS AND DUTIES:
Connect Strategy
- Keeps accurate and timely documentation of work tasks and project milestones and deliverables which supports the Epic Connect business pro-forma.
- Manages individual and team work tasks to maintain operating budget for the St. Charles Health System (SCHS) Epic Connect Program and ensures tracking of inputs and outputs for the Epic Connect Cost center
- Participates in the sales cycle and install roadmap according to the SCHS Epic Connect Strategy
- Supports the SCHS Connect governance groups to advise leaders and guide decisions
- Responsible for understanding and completion of annual Epic Connect Accreditation requirement tasks.
- Completes all individual, team and workstream tasks to deliver a scalable, repeatable and sustainable model for installing and support of connect affiliates
- Supports the relationship for the SCHS Epic Connect Program with Epic Verona Connect leadership
- Accountable for upholding the SCHS Epic Connect Program guiding principles and standards across the team and affiliate stakeholders
Sales and Marketing
- Builds and maintains standardized documentation and toolkits to support sales activity and determine affiliate scope, schedule and fit for the SCHS Epic Connect Program.
- Conducts pre-contracting activities, effectively facilitates workflow preview demonstrations for prospective customers, and responds to system functionality and scope questions
- Creates affiliate stakeholder contact for potential affiliate partners during pre-contracting activities, coordinates all discovery and sales activities and events the sales pipeline.
- Prioritizes tasks in the connect sales cycle & prospect pipeline, and engages with SCHS IT resources to collect input and generate outputs and responses to affiliates in the pipeline & sales cycle.
- Following SCHS IS conventions and standards, establishes standard repeatable and scalable approaches to assess, install and manage revenue cycle solution requirements for affiliates.
Install Management
- Responsible for all discovery, work tasks, deliverables and milestones for assigned Epic application and domain area. Responsible for identifying and managing all give-gets dependencies to complete all work tasks and assignments on time. Ensures affiliate success by delivering according to scope, on schedule, at budget, and to quality standards
- Prioritizes and collaborates on assigned work tasks and engages and communicates with contractor resources and Epic Verona resources to complete team work tasks and dependencies to meet milestones and deliverables on schedule.
- Participates in planning, implementation and go-live activities for the assigned application which will include being on-site with the customer, gathering specifications, discovery questions, capturing process gaps, demonstrating Epic foundation build and workflow design and tracking risk/issues and requests.
- Completes and executes workstream plans, schedules, milestones and dependencies, adjusting work tasks as needed; engages teammate resources, prioritizes individual tasks and escalates off track tasks, risks and issues to ensure milestones and deliverables are met on schedule.
- Functions as an agent for hospital leaders, providers, clinicians and staff and to promote adoption of new processes and technologies
- Requires day-to-day prioritization of work assignments, collaboration and partnership on team assignments and workload balance, identification and early escalation of project risk/issues and effective communication with operational stakeholders to ensure project success.
- Ensures workstream tasks are documented, managed, and updated appropriately to reflect accurate project status. Monitors and manages project performance utilizing project, or implementation tracking tools and dashboards.
- Plans and facilitates productive meetings and discussions and captures meeting outputs (agenda, minutes, action items), while maintaining professional interactions with all relevant stakeholders. Includes necessary stakeholders in decision making and project planning.
- Informs all impacted teammates and stakeholders of key workstream activities and documents daily work progress and status, risks, required actions, and associated timelines. Provides real-time task updates to all levels of the project leadership
- Comprehends and practices connect standards such as shared vs separate build guidelines, change control process, Connect Guiding principles, Affiliate naming and numbering convention, data migration, support incident tracking and optimization request process for affiliates.
- Regularly reviews the install roadmap and communicates the roadmap and any modifications to project team.
- Supports the affiliate's seamless transition from go-live to stabilization to support and maintenance teams to manage optimization and ongoing governance
Customer Relationship Management
- Prioritizes tasks and teams to support and respond to affiliate stakeholders, through sales activities, installs, and post live support.
- Manages individual and team tasks to build repeatable models for contracting, cost and invoicing process to installing and live affiliate partners.
- Supports accurate understanding of product functionality, capabilities and limitations to enable effective decision making and application of the Connect Guiding Principles in all levels of connect governance.
- Serves as the application expert for the scope and integration of third party vendors within Epic and impact across other applications.
- Manages the day to day relationship with relevant affiliate stakeholders and communicates and informs stakeholders about all tasks and considerations of the workstream.
- May be requested to present/participate to represent SCHS and affiliate partnerships at the Epic Connect Collaborative
- Presents/facilitates relevant topics and discussions during the SCHS quarterly user group
- Understands and contributes to overall program performance and Key performance indicator metrics and benchmarking to capture operational success and opportunities for improvement across the program.

EDUCATION
Required: Graduate of an accredited college or university with Bachelor's degree. Or, equivalent work experience and similar successful professional experience may be substituted for Bachelor's degree. Passing Score on Epic Sphinx Test.

LICENSURE/CERTIFICATION/REGISTRATION
Required:
Current Epic Certification in one workstream applications
Valid Oregon driver's license and ability to meet St. Charles Health System's driving requirements. Ability to travel to business functions / trainings / meetings for all St. Charles Health System's community connect worksites as required. Occasional overnight travel will be required during active installs.

EXPERIENCE
Required:
Minimum of 2 years Epic analyst experience required. Additional experience in a healthcare environment which includes systems and procedure analysis, project management, system support or operational experience in business or clinical area is beneficial.
Preferred: Experience with Epic Community Connect Implementation and Support
