We have an exciting opportunity for a Document Controls Manager leading and directing a team of document controls professionals on a large scale, complex program in New York City.
The Document Controls Manager will be responsible for the following:
- Oversight and management of a document control team
- Developing a Document Management Plan inclusive of document distribution matrices, Roles and Responsibilities Index (RACI)
- Setting up and establishing document control procedures, work processes/ flows
- Oversight and management of the tracking, reporting and electronic/ hard copy filing of records, documents, submittals, correspondence, transmittals
- Implementation, configuration and training of the Document Management System
- Document archiving and project close-out requirements
The Document Controls Manager’s duties encompass the following:
- Coordinate with program team to enact the program and project filing and digital document management programs.
- Perform periodic reviews of digital and hard copy records to ensure compliance to procedures
- Maintain project website with updated project information and photographs.
- Assist the program team in monitoring submittals on the project. Create and maintain submittal logs in e-Builder and control paper and digital distribution to project.
- Maintain project contract drawings and digital plan room. Post updates in management and field office. Create and update drawings in e-Builder
- Setup and maintain subcontractor status logs in e-Builder. Coordinate with prequalification coordinator, contract administrator, and project administrator to monitor subcontractor issuance and insurance certificate approvals and expiration.
- As required by the program team the oversight and management of meeting minutes, enter into e-Builder, and distribution to required project team members.
- Support the program team in subcontracting process by contacting bidders, ensuring required documents are delivered, and maintaining bidder logs.
- Compile data required for monthly report into consistent format and assist project manager in assembling the report.
- Assist program team with LEED tracking by maintaining tracking logs and LEED website. Control paper and digital distribution of LEED submittals to reviewer.
Job Skills & Abilities
- Computer knowledge and efficiency, including Microsoft Office products
- A minimum of 8 years of experience is required.
- Implementation and use of E-Builder project management software
- Understanding of commercial construction industry
- Full understanding of drawings, specifications and construction administration processes
- Excellent time management and organization skills
- Ability to understand and follow instructions
- Ability to maintain discretion and confidentiality at all times
- Strong written and verbal communication skills
- Functions effectively as part of a team
