Administrative Coordinator for Business Operations- Center for Student Diversity & Inclusion
The Center for Student Diversity and Inclusion (“The Center”) is a collaborative unit with dual reporting lines to Division of Student Affairs and the Vice Provost for Diversity, Equity & Inclusion and affects the student experience by cultivating cultural engagement, fostering a sense of belonging, and challenging systems of privilege and oppression. The Center supports the success of historically underrepresented student populations through developing community, active mentorship, and personal empowerment while collaborating with students, staff, faculty, and alumni to develop creative programs designed to increase and advance individual and collective intercultural competency development.
The Administrative Assistant for Operations and Reception position is an opportunity to provide essential administrative support for The Center in a student-focused, fast-paced, welcoming and inclusive environment.
Core responsibilities include:
  • Lead in managing a variety of financial process for the Center which will include the following: Day-to-day financial support including: expense verification, reimbursement processing, transferring funds for special activities, processing purchase order processing, journal entries, travel requests, and contract processing; etc.
  • Attend related training and meeting related to Financial Support of the Center
  • Provide and review monthly financial activity and special projects that report to the Associate Dean/Executive Director
  • Help support front desk student staff;
  • Coordinate and reconcile purchasing on behalf of the Center including: inventory, track and order Center operating supplies, equipment, etc..
  • Administrative support for the Executive Director of the Center including calendaring and recording meeting minutes. Expected to provide front desk coverage based on business needs. Front desk coverage includes receiving guests and appointments to the center; managing phone calls, mail and packages, appointment scheduling requests; making appropriate referrals to other offices or resources and follow-up to ensure resolution as needed.
  • Administrative support for the Executive Director of the Center including calendaring and recording meeting minutes. Expected provide front desk coverage based on business need. Front desk coverage incudes
  • Coordinate general Center operations, including: staff meet scheduling and agenda; Telecom billing and orders; serve as Center desktop support liaison and coordinate computing and technology inventory with DOSA-IT; manage equipment maintenance and facilities requests; manage card key access process; maintain an office procedures manual; and serve as emergency response representative for the Center;
Assist the Associate Dean/Executive Director and colleagues in managing responses to various internal and external stakeholders, some of which may be sensitive and/or confidential, through a variety of communication mediums.
  • Participation in training, workshops, committee involvement and general campus engagement is expected. Participation training may include assisting with Center event logistics including confirmation of logistics and vendors.

  • Ability to work autonomously and suggest process improvements. 3-5 years of work experience required.
