The Data Base Analyst is responsible for the performance of a variety of complex secretarial and data base entries duties, as well as technological functions to ensure efficient and effective operation for the Division of Institutional Advancement, provides quality customer relations to internal and external constituencies of the University, and maintains accurate records of fundraising revenue. This position reports to the University Foundation Controller & Executive Assistant to the Vice President for Institutional Advancement.
The following are the functions essential to performing this job.
- Input all gifts received (checks, cash, credit cards, EFT payments) on behalf of the Foundation into the Division's accounting software.
- Process online credit card payments for donors upon request.
- Create appeal codes for all fundraising events
- Create new constitutes records and clean up duplications.
- Generate statistical repm1s of fundraising registration events, donor reports, and donor's annual tax receipts,
- Track event registration for all Division events.
- Assist with registration at fundraising events.
- Create new events donation links (java scripts).
- Maintain office files following the University Retention and Destruction Policy for all outdated files.
- Maintain file room order.
- Oversee and track give away items,
- Oversee and track Unit's borrowed items.
Individuals in this job may be assigned one or more of the following tasks on a rotating or as-needed basis.
- Serve as back-up to the Administrative Secretary, as necessary.
- Assist in the coordination of fundraising events, meetings, and related activities.
- Provide leadership in coordinating assignments for student workers and interns, as needed.
- Other duties as assigned by supervisor.
The individual in this job must possess these skills and abilities or be able to explain and demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
- Demonstrate ability to keyboard at a rate of forty-five net words per minute.
- Good written and oral communications skills, including knowledge and usage of basic grammar and sentence structure.
- Good customer relations and people skills.
- Demonstrate knowledge in the use of computers and computer applications (such as Excel, PowerPoint, and Word)
- Good organizational and time management skills.
- Demonstrate ability to perform under work related pressure due to short deadlines, etc.
- Education: Minimum: Associate degree or high school graduate with six years experiences or more working in a professional office setting preferably at a college or university
- Preferred: Bachelor's degree
The criteria for evaluation in this position include, but are not limited to, the following:
- Demonstrate knowledge of the DSU Fundamentals.
- Completion and quality of assignments according to established guidelines and timelines.
- Reliable attendance and work results.
- Effective interaction and working relationships with prospects, donors, students, faculty, staff, and administrators.
