Administrative Assistant

Non-Exempt
General Definition of Work
Performs duties related to the management of instructional supplies and textbooks. Additionally,
provides administrative support to department Coordinators. This includes communicating with internal
and external stakeholders, receiving and routing calls to the proper person, preparing and maintaining
files and records, and related work as apparent or assigned. Work is performed under the
moderate supervision of the Chief Academic Officer.

Reports to
Chief Academic Officer

Essential Functions
Prepare and maintain budgets and financial information for multiple accounts related to

instructional materials, textbooks, arts education and other special project funding
 Generate purchase orders for textbooks and instructional materials
 Maintain special projects and grant budgets
 Develop and maintain employee contracts and stipends for certified employees
 Maintain/manage accurate vendor information including quotes and cost negotiations
 Manage instructional materials and textbooks (receiving, unloading, repacking for distribution)
 Organize pick-up and/or delivery of textbooks and instructional resources
 Maintain ongoing clear and accurate internal and external communication
 Maintain Curriculum & Instruction website
 Provide clerical support for Curriculum & Instruction Coordinators
 Check and review a variety of data for accuracy, completeness, and conformance to establish

standards and procedures
 Maintain mailing lists, files, and indexes

Knowledge, Skills and Abilities
Thorough knowledge of Microsoft Word/Office, Excel, and Access
 Technology skills required
 Strong ability to maintain inventory systems
 Strong ability needed in the use of tables, spreadsheets, and publishing formats

Education and Experience
Two-year Associate Degree in Business Administration preferred or equivalent experience

Physical Requirements
This work requires the need to lift, move, stack, manage boxes weighing 15 pounds or more.
 Work regularly requires speaking or hearing, frequently requires standing, walking and sitting

and requires using hands to finger, handle or feel, stooping, kneeling, crouching or crawling,
reaching with hands and arms, lifting and repetitive motions.

 Work has standard vision requirements.
 Vocal communication is required for expressing or exchanging ideas by means of the spoken

word and conveying detailed or important instructions to others accurately, loudly or quickly.
 Hearing is required to perceive information at normal spoken word levels and to receive detailed

information through oral communications and/or to make fine distinctions in sound.
 Work requires preparing and analyzing written or computer data.
 Work has little to no exposure to environmental conditions.
 Work location is occasionally in a warehouse off-site.
 Work is generally in a moderately noisy location (e.g. business office, light traffic).
