CRIMINAL CLERK - SHERIFF'S OFFICE
General Summary
Under the supervision of and with duties assigned by the Administrative Aide/Office Manager –
Sheriff, performs records management and general office support functions including maintaining and updating records pertaining to criminal, traffic and civil cases.
Essential Functions
1. Provides reception services which includes receiving visitors to the Sheriff’s Office, answers inquiries regarding operational procedures and/or directs to proper source. Provides counter and telephone assistance to attorneys, other human service agencies and the public. Receipts payments for a variety of services.
2. Issues permits to purchase handguns and issues firearms registrations to individuals through the MICJIN/LEIN program. Reviews LEIN responses to verify applicants' eligibility.
3. Updates and/or verifies addresses and personal information of registered sex offenders through Michigan Sex Offender Registry.
4. Enters original/bench warrants, personal protection orders and adult probation orders into
LEIN. Runs criminal history report through LEIN to acquire physical information on subjects. Assists officers of the court with LEIN entries and conducts second party checks on conditional bond and stolen entries. Checks Livescan records for accuracy and follows up with appropriate agency staff. Assists officers of the court with recalling warrants, personal protection orders, conditional bonds and adult probation orders from LEIN, returning same to court, and assists other law enforcement agencies with confirming warrants. Provides
Probation Officers with criminal history reports for their pre-sentence investigation.
5. Completes monthly LEIN validation by printing monthly list provided by LEIN Field
Services, checking each warrant/stolen/missing file, compiling list for appropriate courts.
6. Enters and updates information pertaining to arrests, complaint reports, original and bench warrants, calls for service, traffic citations and accidents reports into the Records
Management System (RMS). Reviews and enters all information for Michigan Incident Crime
Reporting to submit to State of Michigan. Updates RMS with final dispositions obtained from AS400 court system.
7. Enters traffic crash reports and citations into State Records Management System.
8. Prepares summary reports of arrests and complaints. Prepares annual statistical reports.
9. Maintains hard copy files of traffic accidents, complaints, arrests, original and bench warrants, and traffic citations.
10. Responsible for uploading complaint report, LEIN and supporting documentation to the
Warrant Portal. Swears to probable cause on felony and misdemeanor warrants before magistrate.
11. Processes insurance requests received through the mail and ensures appropriate fees are collected.

12. Locates and retrieves incident reports, crash reports and tickets for deputies for court purposes/appearances.
13. Processes Freedom of Information Act requests. Consisting of retrieval of requested records, reviewing for exemptions, coordination with Prosecutor and/or Civil Counsel when appropriate, prepare a response, invoices and collects appropriate fees.
14. Downloads video from Deputy’s body camera and dashboard camera for Prosecutor. Copies and edits digital video and/or photo evidence for FOIA requests and public release.
15. Processes non-sufficient funds checks for collection. Searches in-house records or LEIN for information on subject. Maintains monthly totals of checks and collection amounts. May recommend to detective or road deputy to initiate warrant paperwork.
16. Provides general office support, performs checks to public and private sectors as requested, provides notary and witness services, performs light maintenance, makes copies, sends faxes, and performs related clerical tasks.
Other Functions
17. Assists Civil Clerk with processing and service of all civil papers when needed.

Employment Qualifications
Education: High school graduation or equivalent with classes in office and business. Prefer advanced coursework in data processing, accounting or related area required (equivalent to one to two years of college courses). Prefer some coursework in criminal justice.
Experience: Two or more years of prior clerical experience that includes substantial data entry and records management experience. Experience working for a law enforcement agency preferred.
Other Requirements:
Successful completion of background investigation, including but not limited to, criminal history checks via LEIN and Livescan fingerprint system, local law enforcement check and Johnson
Roberts Personal History Questionnaire.
Ability to navigate various computer systems including, but not limited to: State Records
Management System, VuVault (bodycam), 10-8 (dash cam) and CaseGuard Studio (redaction software), LEIN/Talon, MICJIN, AS400, DataEase, and Microsoft Office Programs.
LEIN/TAC Certification required within one year of employment.
LEIN Operator Certification required within 6 months of employment.
Must handle with ease different types of firearms in the process of registration. Must have extensive understanding of the state and federal firearm prohibitors acquired through in-house training and State of Michigan Firearms Training.
Strong interpersonal communication skills required.
