I. GENERAL SUMMARY:

This position is responsible for coordination of the credentialing/appointment/reappointment functions of the Medical Staff Office, including physician and allied health credentialing and recredentialing, meeting management, flow of information from Credentials Committee through the Medical Board and Quality of Care Committee. Assists Director with JCAHO survey preparation for the medical staff leadership function by understanding JCAHO accreditation standards. Develops understanding of, and conducts activities in accordance with, outside licensing and auditing agency standards.

Under the direction of the Manager of Credentialing, the Credentialing Coordinator II is responsible for the maintenance of a streamlined electronic practitioner credentialing process as it relates to initial and/or re-credentialing, changes in privileges/specialty or demographic information, on-going maintenance and verifications of current documents, voluntary terminations, annual delegation audits, expirables, and committee meeting management including minutes, and other duties required to maintain compliance with regulatory and accreditation agencies and credentialing policies and procedures.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

Conducts activities related to physician initial appointment to the medical staff by consistent and timely data entry and verification activities and conforms to established timeframes. Monitors status of pending reappointments and ensures timely completion of physician and allied health reappointments by maintaining logging system to ensure all packets are returned in a timely manner. Upon return of reappointment packets, reviews data for completeness. Follow up to obtain missing information as needed. Develops sound understanding of OneApp database data entry and reporting procedures. Inputs information and conducts audits of the information to ensure its completeness and accuracy. Prepares packets for Credentials Committee, Medical Board and Quality of Care Committee. May prepare agenda and attends meetings as directed, may take and transcribe minutes if needed. Integrates as appropriate QA/UR information into physician files. Types and distributes reports, statistical data, letters, and other documents. Files and retrieves documents. May assist in developing privilege criteria, privilege delineations and other activities necessary to an effective credentialing process. May be required to prepare meeting agenda, minutes and follow up on issues as assigned by the Credentials Committee, Medical Board and/or Quality of Care meetings. Participates in the medical staff officer elections and assists in development of policies and procedures related to JCAHO, NCQA and other accreditation agency requirements. Performs other job related duties as required or requested.

III. JOB REQUIREMENTS:

A. JOB KNOWLEDGE AND SKILLS:


Able to effectively interact with outside facilities/agencies on behalf of Tufts Medical Center Deals with highly confidential/sensitive information. Willingness to follow established procedures and work within deadlines. Excellent communication and organizational skills. Ability to work independently and prioritize responsibilities. Word processing and data base (or spreadsheet) knowledge required, familiarity with database structure helpful.

B. EDUCATION:


Level of knowledge equivalent to an Associates degree in Business.

C. EXPERIENCE:

Three to five years of administrative experience required.

WORKING CONDITIONS/PHYSICAL DEMANDS:

Office environment requiring interaction with other departments and medical staff. Ability to stand, bend, and move appropriately to file; lift up to 30 pounds of paper materials.
