Contract Administration Specialist Desired (Bellevue)
Seeking Full Time Contract Administration
An industry-leading mechanical contracting company is seeking a full-time Contract Administrator. Along with full control of the contract document process stream, this role has full charge responsibility for setting up new projects, including initial budgets and internal and external change orders. You will work closely with Operations Management, Accounting, and Project Managers in support of contract documentation and budget entry.
The ideal candidate will have a minimum of two years of construction contract administration experience, familiarity with certificates of insurance and project set-up. Be proficient in conveying contract communications with internal and external clients. Be able to balance multitasking support with an enthusiastic team spirit in a professional manner with little supervision.
Duties & Responsibilities:
* Project Accounting
* Create and enter project set-up with budgets into the ERP system
* Work closely with PM’s to make sure forms are accurate and complete
* Respond to client requests in a supportive and competent fashion
* Coordinate with Operations (Contract reviewer and Project Manager) and Insurance/Bond Brokers:
* Secure proper Insurance certificates for Client Contracts
* Request Bonds as directed
* Administer, manage, and continually improve the entire contract process including master service agreements; track the status of contract requests, preparing contract checklists to secure authorized signatures for contract execution.
* Collect contract and approval documentation for both Client and Subcontract agreements to maintain comprehensive records.
* Investigate contract and budget-related discrepancies for departmental and interdepartmental requests related to contract data.
* Communicate with Clients and Subcontractor verbally and in writing, providing quality customer service to meet/maintain contract compliance.
* Assist in filing of intents and affidavits.
* Support, inform, and coordinate with others in the company; work across other functions as requested to provide additional information.
* Additional duties as requested.
Knowledge, Skills & Abilities:
* 2+ years of Construction Contract Administration experience.
* Strong understanding of Insurance certificates and specific riders to meet contractual requirements.
* Proficiency with Microsoft Office products.
* Strong knowledge of ERP Financial Systems.
* Initiative to work independently.
* Analytical, with strong organization and multi-tasking skills.
* Exceptional attention to detail and accuracy.
* Ability to perform in complex cross-functional business environments as a team player.
* Good interpersonal skills, with the ability to work with all levels of internal and external parties.
* Good verbal and written communication skills, with the ability to convey information clearly and accurately.
* Ability to gather, research, and analyze information.
Basic Qualifications:
* Minimum Education: High School Diploma, Contract Administration, Business Administration, Accounting, or related degree preferred.
*Compensation: $31.25 - $38.46 per hour DOE, with a generous benefits package.
