Position Overview:
As a Contracts Administrator, you will play a vital role in managing the contractual obligations and relationships of our company. You will be responsible for overseeing the entire lifecycle of contracts, from initial drafting and negotiation to final execution and ongoing compliance. Your exceptional organizational skills, attention to detail, and strong communication abilities will be essential in maintaining accurate and up-to-date contract records and facilitating effective communication between internal stakeholders and external parties.
Responsibilities:
Contract Development and Negotiation:
- Collaborate with cross-functional teams, including legal, sales, and finance, to draft and review contracts, ensuring compliance with company policies and applicable laws.
- Participate in contract negotiations, addressing key terms and conditions, pricing, timelines, and other relevant aspects to protect the company's interests.
- Coordinate with external stakeholders, such as clients, vendors, and subcontractors, to gather necessary information and negotiate mutually beneficial agreements.
Contract Administration:
- Maintain an organized contract repository, ensuring all contracts and related documentation are accurate, up-to-date, and easily accessible.
- Monitor contract renewal dates, milestones, and deliverables, proactively communicating with internal teams to ensure compliance and timely execution.
- Facilitate internal contract review processes, obtaining necessary approvals and signatures while adhering to internal protocols.
Risk Assessment and Mitigation:
- Identify and assess contractual risks, such as non-compliance, scope changes, or delays, and propose appropriate mitigation strategies.
- Collaborate with legal counsel to resolve contractual disputes, deviations, or non-performance issues, ensuring compliance with legal requirements.
Communication and Collaboration:
- Serve as a key point of contact for internal and external stakeholders regarding contract-related inquiries, clarifications, and revisions.
- Foster positive working relationships with clients, vendors, and subcontractors, ensuring effective communication throughout the contract lifecycle.
- Collaborate with cross-functional teams to provide guidance on contractual matters and assist in resolving any conflicts or issues that may arise.
Contract Performance Evaluation:
- Monitor and evaluate contract performance against established key performance indicators (KPIs), tracking deliverables, timelines, and financial terms.
- Generate reports and summaries to provide insights into contract performance, identify areas of improvement, and support decision-making processes.
Job Preferences
- Bachelor's degree in Business Administration, Legal Studies, or a related field.
- Proven experience (1 year) as a Contracts Administrator or in a similar role, preferably within Construction.
- Strong understanding of contract law, legal terminology, and contractual best practices.
- Excellent written and verbal communication skills, with the ability to draft clear and concise contract documents and effectively communicate complex concepts.
- Exceptional organizational skills, with the ability to manage multiple contracts simultaneously and meet deadlines.
- Attention to detail and a meticulous approach to contract review and analysis.
- Proficiency in using contract management software and other relevant tools.
- Knowledge of applicable laws and regulations related to contracts, such as procurement and compliance requirements.
- Strong analytical and problem-solving abilities to identify risks and propose appropriate solutions.
