responsible for first contact with WuXi AppTec clients, future employees, and vendors. Performs administrative functions. Manages in bound Client Support phone or email requests. Receptionist for main building.
Candidates selected for inteviews will be contacted by email. The rate of pay for this position is $17.00 per hour with full benefits.
Responsibilities:
- First contact for WuXi AppTec clients for telephone and email support
- Manage Client Services email box (emails from clients and AMs)
- Answer multi-line phone system and route calls to appropriate person
- Ensure visitors including clients, regulatory agencies, and service visitors, are signed in and announced to the appropriate person
- SME for WOS and Client Portal operation; 1st point of contact for questions
- Assist clients and staff members with various administrative questions or problems including utilizing the copy machine and other office equipment
- Sort incoming mail in appropriate employee mailboxes. Maintain mailing equipment and process outgoing mail
- Ensure the front office, conference rooms and guest restroom are maintained in a professional manner and stocked with drinks and general supplies
- Assist with onsite meetings, which includes ordering lunches, scheduling transportation for visitors, etc.
- Assist with maintenance of Client Approval of STIs for standard micro labs
- Assist with providing electronic copies of STIs and generic protocols to clients
- Resend copies of final reports as requested
- Perform regulatory compliance function of scanning and archiving Quality Records as required by WuXi SOP
- Contributes to the overall operations and to the achievement of departmental goals
- Other general administrative duties as requested
- Works on routine assignments per written procedures, where ability to recognize deviation from accepted practice is required
- Works under supervision from supervisor or senior personnel.
- Perform job specific tasks in compliance with applicable Regulations, International Standards, and WuXi AppTec Policies and Standard Operating Procedures
- May be required to work holidays and weekends and overtime
- May be required to assist in other departments
- Other duties as assigned
Experience / Education
- High School Diploma or equivalent
- 1-year experience in a receptionist or administrative role
Knowledge / Skills / Abilities:
- Must be able to multi-task and work at a fast pace
- Must have strong attention to detail and the ability to maintain focus
- Must be diligent, organized, and dependable
- Proficient in oral & written communication skills
- Need to be able to read, write and understand English
- Ability to work in a team environment and independently as required
- Proficient in computer programs (e.g., Microsoft Office)
- Must be able to utilize a multi-line phone system
Physical Requirements:
- Must be able to work in an office environment with minimal noise conditions
- Ability to stand / sit / walk for long periods of time
- Must be able to perform repetitive wrist and hand motions
- Must be able to bend / twist
- Must be able to lift up to 20 lbs.
Hours are Monday - Friday 8:00 - 5:00
