Client Servicce Coordinator / Customer Service Representative Job at Hart to Heart Transportation Services
PRIMARY FUNCTION
Hart to Heart is looking for a positive and professional Client Service Coordinator/Customer Service Representative (CSR) for our Medical Assistance Team. In this role, you will be interacting with patients, caregivers, facilities, transport vendors and medical assistance offices regarding transportation arrangements. In addition, you will be entering transports into the scheduling system, verifying patient eligibility and transport accuracy.
PRINCIPLE DUTIES AND RESPONSIBILITIES
- Receive, verify, and enter transport requests into scheduling system
- Verify transport report is accurate and complete for next day transports
- Process reported cancellations, notifying relevant parties
- Process various reports as needed
- Answer calls and emails in a timely manner
- Receive, verify, and enter same day transports into scheduling system
- Research complaints, provide analysis and options for resolution
- Process transport authorizations received various MA offices
- Maintain accurate patient records, resolving inconsistencies as needed
- Monitor compliance and provide direct oversight to a portfolio of programs receiving federal, state, or city funding.
- Provide training and technical support to department associates on, program guidelines and contractual obligations. Assist program manager to identify resources and enhance program services through the evaluation of day-today business results.
- Assist with preparation of daily/monthly reports provided to grant managers within the portfolio
- Assist with data review on a daily basis and work with designated program managers to address questions and/or make system updates to client records
- Interface with program managers to audit / reconcile monthly data, obtain final approval and submit to accounting for final approval
Knowledge, Skills and Abilities:
- Knowledge of the principles and techniques of administration
- Knowledge of reference and research methods and techniques in collecting, compiling, and organizing data, and statistical analysis.
- Ability to prepare and maintain detailed statistical and narrative reports
- Ability to evaluate data, compare data to existing standards, investigate situations and extract and organize facts.
- Ability to evaluate program policies and procedures; apply and interpret rules, regulations and procedures.
- Ability to develop criteria to identify program goals and objectives.
- Ability to develop and maintain record, data collection and reporting systems.
- Strong and effective written and oral communication skills
- Ability to deal effectively with government officials and personnel
- Ability to establish and maintain effective working relationships with co-workers, the general public, clients, and others
- Ability to reason and use logical problem- solving skills
- Must be a self-starter and a team player with the ability to prioritize multiple tasks
- Proficiency in Microsoft Office
