The Chief of Staff to the Chief Executive Officer is a high visibility role that serves as the right-hand support for the Chief Executive Officer for Rush University System for Health. The Advisor anticipates the needs of the CEO of RUSH and proactively builds the trust and confidence of the executives who directly or indirectly report to the CEO of RUSH. This role encompasses a wide range of duties including everyday management of the Office of the CEO of RUSH, planning, and execution of critical meetings on behalf of the CEO, project management of key initiatives, supervising and mentoring the administrative residents and fellows, providing leadership and direction for change management initiatives, complex project management and program development for the CEO of RUSH and his executive team. As a key member of the Rush executive's staff, the Advisor is responsible for the central coordination of organization-wide activities, ensuring timely communication and flow of information to and from the executive office and developing, managing, and executing complex projects. Exemplifies the Rush mission, vision, and values and acts in accordance with Rush policies and procedures.
Job Responsibilities:
Provides strategic support to the CEO of RUSH on project planning, management and execution, and coordinates initiatives and special projects for the CEO of RUSH and his direct reports.
Serves as an internal consultant to the CEO of RUSH and senior leaders on a wide range of issues, and acts as the CEO of RUSHs representative on various Medical Center task forces and groups.
Serves as a key advisor to the CEO of RUSH in ongoing operations and strategy of the Medical Center
Prepares key communication documents for the CEO for external and internal audiences reflecting organizational updates and priorities
Monitors organization-wide initiatives and priorities, and manages an organizational calendar of key events
In close collaboration with CEO and Senior leaders, prepares agenda for standing meetings including senior leadership team meetings and select board meetings; prepares CEO presentations and talking points for these meetings.
Collaborates with the executive team to facilitate operational objectives, which include but are not limited to achieving growth targets, reducing costs, and managing special projects.
Analyzes performance data to measure major organizational goal achievement. Tracks major initiatives and activities, most notably implementation of the recommendations stemming from the strategic planning process, providing regular reports to the Senior Leadership Team; Manages Senior Leadership Visibility Wall.
Provides hands-on, detail-oriented leadership in managing the fast-paced activities of the medical center, including directing cross-functional teams and facilitating efforts to build new business strategies, streamline processes, identify, and present strategic issues to the CEO of RUSH and his executive team.
Tracks, monitors, and follows the progress of projects, action items, and strategies that emanate from the executive team, providing regular reports to the Senior Leadership Team
Represents and communicates internally and externally for the Office of the CEO of RUSH
Ensures information flow to and from the executive office, via all types of venues (team meetings with the senior team and other leadership groups, forums, correspondence, speeches, conferences, retreats, etc.).
Develops presentations from conceptual information to completion, including research on an array of topics and for a breadth of constituents.
Effectively and discreetly manages communications and documents of a highly confidential and sensitive nature as needed.
Advises the CEO of RUSH on messaging, the top priorities of his agenda, and ensures that his time commitments are effective
In partnership with the executive assistant, organizes and manages the CEO of RUSH assuring the efficiency of the office operations
Initiates subsequent follow-up meetings and communication for key stakeholders on behalf of CEO
Manages the annual operating budget for the office of the CEO of RUSH and oversees the portfolio of CEO of RUSH's discretionary funds.
Reviews correspondence and drafts responses for the CEO of RUSH as appropriate, or forwards to the appropriate person for response and/or reply.
Works closely with the CEO's executive support staff to develop processes and timelines for managing flow and content of information to and from the office
Required Job Qualifications:
Master's degree in business, finance, healthcare administration, or a related field required.
Minimum 6 - 10 years of health care or related experience.
Academic medical center experience is preferred
Experience at the C-suite level, working and collaborating with a complex and diverse executive team and medical leaders.
Strategic planning skills to support the Medical Center's efforts to change in a dynamic and complex environment
Ability to read, analyze and interpret data, financial reports, and legal documents.
Excellent organizational and communications skills
Organized, with outstanding project management and organization skills and the capability to successfully manage and implement multiple projects.
Thought leadership, flexibility, and the ability to handle the uncertainties associated with a fast-paced environment
A professional demeanor, outstanding interpersonal and collaboration skills
Ability to problem solve, prioritize, negotiate, and juggle changing deadlines.
