Job Title: Business Development Manager

Department: Project Management Sales Division

Reports To: EVP of Sales

SUMMARY: Describes the job's primary purpose or contribution to the department/organization.

The Business Development Manager will facilitate and manage essential resources toward the company’s overall sales, marketing, and business development strategies for the Project Management Division. The Manager will deliver ongoing support to the business development team and clients by managing the request for proposal (RFP) timeline, content and responses, creating presentation materials, facilitating proposal development across the division, creating Salesforce reporting, and owning the department’s event planning and tradeshow execution process. The Manager will utilize a strong proficiency in MS PowerPoint, MS Word, Visio, and Salesforce. This will be a hybrid role in the Phoenix, Arizona market and the candidate must be on site for a portion of the week.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other job-related duties may be assigned in conformance with state and federal regulations.

Business Development Manager Core Duties:

  • Lead the RFP Response pipeline by attending all planning meetings and providing answers to questions asked in Requests for Proposals (other than pricing) with input from the account Senior Vice President (SVP) and Operations regarding competitors and examples of comparable work.
  • Manage the RFP timeline, and own the RFI & RFP deliverable and submittal when in client portal.
  • Assess all RFP communications and responses for clarity, formatting, accuracy, consistent presentation, conform Tables of Contents to pagination, and assemble to create pdf for submittal.

· Create simple proposals (ADA, New Stores, Remodels) using established template formatting and clarifications, proofread submitted proposals for clarity, spelling, punctuation, grammar, and consistent presentation.

  • Create sales presentations for use by account SVP for onsite or email campaigns in close collaboration with SVP and revise as needed after ongoing client meetings.
  • Create project/program organizational charts within Visio according to personnel named by Program Manager and SVP.
  • Using Visio, revise existing workflow chart named by Program Manager and SVP as similar.
  • Navigate Salesforce and update contact information as provided by SVP, create email templates for others’ use in campaigns, and prepare reports as needed for the team.
  • Manage the COI (Certificate of Insurance) process in a timely fashion for clients facilitating the distribution to the correct location.

· Produce and maintain project case studies across all industries and projects coordinating between sales and project management teams, adding photos, interviewing clients, and managing SharePoint updates. Keep proposals updated with the latest language, terms and conditions, and fee increases.

  • Facilitate Vendor Registrations through Ariba, Service Channel, Scout, Central Authentication Service, ContractPodAi, EBIX, Jaggaer, pmWeb, POL, ProCore, SOMA, SupplierGATEWAY, GEP SMART, and Workday Strategic Sourcing while maintaining a thorough spreadsheet of passwords.
  • Create and update presentation folders, working with in-house designer for content, and manage the printing and distribution.
  • Maintain Events Planning spreadsheet, register SVP attendees, provide hard-copy bound printouts of presentation deck if needed, and ship banners, BV materials, and giveaways.
  • Own the BV Forum event planning process partnering with the in-house designer, prepare the presentation deck, update the BV logo, and navigate all aspects of the event coordination including site selection, keynote speaker, F&B, transportation, travel, and giveaways.

· Exemplify exceptional proofreading skills by exhibiting attention to detail, knowledge of correct spelling, grammar, and punctuation for a minimum of 10 proposals per month.

  • Organize all technical marketing communications material according to set standards regarding order, clarity, conciseness, style, formatting, and terminology.

· Maintain clear and accurate attendance, leads, and budget records of past events and cost forecasts for upcoming events.

· Complete registration, sponsorship, and other forms for approved events (securing early bird pricing whenever possible).

· Assist with event budgets, providing input for the overall department budget, monitoring budget status, and creating and maintaining comprehensive documentation of each show/event.

· May be required to work overtime.

· May be asked to travel up to 10% of the time to client sites across the U.S. via plane and driving as determined based on meeting or training location.

· Ability to use and skillfully operate a computer is essential to this position.

Education and/or Experience:

· Bachelor’s degree in Marketing, Communications, Business, or related field is preferred.

· 2+ years of marketing/proposal experience within architecture, engineering, or construction industries.

· Strong working knowledge of Adobe CS, InDesign, Illustrator, Photoshop, Microsoft Office Suite, Visio, and Deltek Vision.

· Salesforce experience is required.

· Proven experience preparing proposals, qualification packages, and presentations; assisting with business development activities; and supporting public relations efforts – editing and organizing various components of each, ensuring content is comprehensive, competitive, client-specific, and according to firm brand standards.

Certificates, Licenses, Registrations:

o Valid driver's license is required with no significant MVA points/violations (clean driving record).

Other Qualifications:

o Must live in the Phoenix, AZ area.

o Personal credit sufficient to charge business travel expenses of up to $3,000 required (to be expensed to company for reimbursement) should you need to travel for trainings, meetings, and/or tradeshows.

o Must have a cell phone and supply your own internet service.

o Must be able to work from a remote location.

o Ability to travel up to 10% of the time to client sites across the U.S. via plane and driving as determined based on meeting or training location.

o Proficient in all Microsoft Office applications with a strong emphasis in MS PowerPoint, MS Word, and MS Excel.

o Strong written and verbal communication skills.

o Excellent time management skills including ability to perform multiple priorities in a fast-paced environment and ability to work independently.

o Able to skillfully operate a computer.
