Job Title: Bookkeeper 5
Position Function: Perform a wide variety of duties, some of a confidential nature. Performs general secretarial duties which may be required but not limited to answering phones, basic computer functions, typing, filing, copying, distributing mail, proofreading, counter work, answering intercom, maintaining principal’s calendar, scheduling appointments, etc. Provides the monitoring of students before and after school hours and those referred to the office during the school day.
Essential Performance Responsibilities:
- Perform bookkeeping procedures (write checks, make deposits, key in data (income and expenses) on the computer, and compile various reports to be sent to the administrative offices
- Perform all payroll procedures, (which will consist of maintaining an accurate accountability of attendance; calling in for substitutes, filling out anticipated absence forms, etc.)
- Maintain all Confidentiality Reports (such as Free/Reduced Reports, personnel files, PAR’s, accident reports, expulsion/suspension letters, etc.)
- Perform school budget procedures which would include ordering, checking in items for the building and maintaining monthly budget accounting of annual budget
- Assemble and distribute staff, student and community information (such as reports, school newsletters, school letters, etc.)
- Assist with preparation of required reports
- Maintain copier, office machines and vending machines
- Maintain up-to-date inventory of equipment and building keys
- Perform duties related to enrollment, pre-enrollment, summer school and magnet schools
- Maintain master calendar for school and principal
- Maintain yearly changes for student and faculty handbooks
- Perform health room duties as allowed by Board Policy
- Serve as backup for attendance, registrar and other clerical staff
- Perform other duties as assigned by the administrators
- Keep inventory of building keys
Additional Duties: Assists with additional duties as assigned by Supervisor.
Equipment: This position may require the ability to use SMART boards and iPads in addition to basic office equipment such as computers, copiers, scanners, and fax machine. Must always comply with USD 259’s guidelines for equipment use.
Travel: Some travel within district may be required.

- Work in standard office and school building environments
- Ability to work outdoors during outdoor student activities
- Additional demands upon request of Supervisor
- Attendance at required meetings and in-services

- Ability to maintain professional discretion in order to comply with instructions, procedures, standards, policies, laws, and theories that are obtained within the organization
- Proficient time management skills, good judgment, problem solving, and analytical abilities in order to effectively meet deadlines
- Advanced computer proficiency and the ability to effectively use Microsoft Word, Excel, Outlook, and PowerPoint, which will be determined and validated by testing
- Ability to communicate exceptionally both verbally and written to communicate effectively with others inside and outside of the organization for the purpose of giving and obtaining highly confidential information, and frequently involving influencing and advising others on matters of significance
- Ability to solve complex problems using research, analyzing, and previous precedent for similar problems
- Ability to write letters, memos and reports that command attention and achieve results
- Ability to provide the highest level customer service
- Displays eagerness and the ability to learn new methods, procedures, and techniques
- Ability to plan and organize effectively to achieve greater results
- Gives the highest priority to achieving accuracy

Interrelations:
- Contact with personnel within the district and with customers and vendors
- Will be working under the direct supervision of the department supervisor in order to complete day to day tasks
- Will be working with a diverse population requiring the ability to handle all situations with tact and diplomacy
- Must understand and respond appropriately to customer needs and maintain a positive attitude with all customers and colleagues
- Expected to interact with all internal and external customers in a friendly, professional manner and provide quick, responsive customer service
Employee Punctuality and Appearance:
- In order for schools to operate effectively, employees are expected to perform all assigned duties and work all scheduled hours during each designated workday, unless the employee has received approved leave
- Any deviation from assigned hours must have prior approval from the employee’s supervisor or building administrator
- All employees are required to report to work dressed in a manner that reflects a positive image of USD 259 and is appropriate for their position Qualification Profile
Qualification Profile:
- A High School education or GED is required
- Associates Degree Preferred
- Minimum one year experience is preferred
