The Booker/Warranty Administrator Assistant is to focus on the duties of the Warranty Administrator until that function is complete. The Booker/Warranty Administrator Assistant will also assist the Timekeeper for the flagging of repair orders. The Administrator will then support the service department in other functions as needed.


Duties and Responsibilities (
include but are not limited to):


Booker:

  • Look up and document labor operations and fault codes on the repair orders.

  • Document customer pay labor charges on repair orders.

  • Enter labor charges warranty, customer pay and internal into computer via the flag screen.

  • Check the repair order for completeness.

  • Check the technician’s elapsed time per job or repair order.

  • Ensures proper repair order documentation, i.e., complaint, cause, and correction noted on every repair order with punch time (elapsed time) for each operation.

  • Reviews hard copies of repair order turned in by technicians to ensure that assigned work has been performed and the repair order has been completed properly.

  • Advises service manager of repetitive shortages so that corrective action can be taken.


Warranty Administrator:

  • Review every warranty Repair Order written for proper completion, accuracy and legibility according to the policies and procedures manual.

  • Prepare and submit claims for warranty to the manufacturer using the administrative tools available.

  • Ensure warranty claims are processed accurately and in a timely manner.

  • Make and implement decisions regarding warranty claims.

  • Establish and maintain relationships with the manufacturer’s designated warranty representative.

  • Posts credits in the DMS.

  • Reconcile all warranty receivable with payments using the appropriate accounting schedule.

  • Maintain an accurate filing system of open claims holding for credit and authorization.

  • Maintain a record of outstanding claims submitted, rejected, returned or paid.

  • Monitor the processing of claims to identify problems.

  • Analyze problems, identify trends and develop strategies for maximizing claim processes.

  • Follow up with the factory regarding unpaid claims.

  • Report to management any fraudulent manipulation of warranty claims.

  • Utilize all available information to ensure proper resolution of problems.

  • Keep up-to-date on all information pertinent (e.g., factory recalls, bulletins, etc.) to the Warranty Administrator position.

  • Ensure that customer’s complaints are handled promptly, with genuine concern and according to dealership guidelines.

  • Provide prompt, efficient and quality service to the customers and dealership.

  • Take the initiative to exceed customer satisfaction, even if it requires overcoming obstacles.

  • Strive for harmony and teamwork within the dealership.

  • Listen actively to understand others completely.

  • Present self as positive role model by demonstrating commitment to the department, customers, dealership and company.

  • Attend training classes as directed by management.

  • Must be a team player with impeccable honesty and integrity.

  • Maintain a high level of professional personal appearance and conduct.

  • Report to management any situation or condition that jeopardizes the safety, welfare, or integrity of the dealership, employees, or customers.

  • Perform various clerical tasks as directed by service management.

  • Report to management any violations of the above standards including violations of honesty and integrity.

Qualifications:

  • High School diploma or the equivalent

  • Two years bookkeeping/office experience

  • Proficient knowledge of the Warranty Policies and Procedures

  • Proficient knowledge of the dealership’s computer systems

  • Three years of experience in an auto repair facility

  • Excellent verbal and written communication skills

  • Ability to collaborate with others

  • Must have held a valid driver's license for at least 1 year

  • Must be at least 18 years of age to be considered


Schedule:

  • Monday-Friday with rotating Saturdays.


Compensation:

  • $16-18 per hour plus performance incentives/bonuses
