We are currently looking to hire a part-time Billing Specialist to represent our in-house staffing agency, Samplers Inc.

What do our companies do? We help our clients (generally marketing agencies, retailers, liquor distributors/suppliers, and brands) promote their products and complete other marketing tasks such as merchandising or data collection. Billing Specialists play a key role in our company as they are responsible for timely and accurate invoicing to our clients. A Billing Specials must be detail oriented, patient, organized, and timely. This person must be able to follow detailed instructions, enjoy routine tasks, and be comfortable learning client invoicing systems.

Do you...?

- Want an entry level job with a high level of independence? You will be trained on how to properly invoice our clients, but will be responsible for managing your workflow and meeting established deadlines weekly.

- Strive for accuracy? A few mistakes on invoicing can cost the company hundreds if not thousands of dollars. This person needs to have an eye for detail and scrutinize timesheets and invoices for all client requirements.

- Take accountability for your actions? The blame game has no place here. Owning both our successes and failures allows us all to learn and grow.

- Handle stress well? Sometimes our invoices are for 100 stores and sometimes 1000. However, the deadline doesn’t change. Therefore, a Billing Specialist needs to be able to manage their time, work carefully but quickly, and produce quality invoices.

Duties:

- Work with Staffing Team to be sure all items needed for billing are in the correct location in our internal network.

- Create weekly invoicing in accordance with client requirements and standards.

- Ensure all events being billed are electronically reported (if applicable) and expenses are recorded correctly.

- Create Excel and Adobe invoices

- Ensure all corresponding timesheets have all data needed for billing

- Verify all shifts invoiced have corresponding timesheets/reconciliation requirements as outlined by our client agreement.

- Identify trends/missing items on timesheets and report to Staffing Team for field staff coaching opportunities.

Ideal Candidate Qualities:

- Professional and assertive verbal and written communication skills

- Comfortable working in a fast-paced environment

- Proven scholastic or business experience

- MS Office skills including Outlook, Excel, Adobe and Word

- Quick learner of technology (internet, database, online applications, smart phones, etc.)

- Problem solver with ability to analyze situations/processes and quickly determine an appropriate solution

- Ability to multi-task and handle stress of multiple demands being placed upon you at once

- Positive attitude and sense of humor!

Schedule: The Billing Specialist will work in our office in Pawtucket, RI. Ideally, this position will be in the office 3 days a week (Wed, Thursday and Fri) and work between 4-6 hour shifts (if not more). This position can grow to 30 hours a week if needed.
