Position Overview

The Benefits Specialist is responsible for the employee benefits program design and administration. This position assists employees with benefits enrollment and questions, processes all insurance billing, maintains human resources information system (HRIS) and coordinates retiree benefits.

Essential Job Functions

  • Administers and answers employee questions for all benefit plans, including medical, dental, section 125 accounts, life insurance, 401(k) plans, and voluntary products with regard to benefit changes, enrollments, claims and other inquiries
  • Conducts new hire benefits and 401(k) orientation
  • Coordinates the entire open enrollment process by creating employee communication, conducting open enrollment employee meetings, and reviewing and updating benefit information
  • Processes benefit enrollments for new hires and life events
  • Calculates and collects missed premiums, refunds and repayments for untimely enrollments, terminations and qualifying event changes
  • Administers 401k plan to include payroll filings, reporting, respond to employee questions, post annual summary report, audits, and maintenance of plan documents
  • Coordinates on-site informational retirements meetings for employees and 401(k) provider
  • Drafts letters to employees, dependents, retirees, providers and carriers when necessary
  • Assists eligible employees with retirement process, including transfer of insurance benefits and discussion of retirement withdrawal options
  • Reconciles monthly insurance billings such as group medical, dental, life, and voluntary products
  • Participates in benefit surveys in order to collect market data to determine, establish, and maintain market competitiveness
  • Works with outside vendor to complete audit of retirement plans, ensuring accuracy and integrity of retirement plan
  • Completes annual PPACA and Form 5500 filings, which includes data gathering, completion of electronic filing, and any revisions needed
  • Establishes and maintains familiarity with provisions of federal and state laws and regulations to help determine impact on compensation and benefit plans and ensure compliance with consolidated omnibus budget reconciliation act (COBRA), health insurance portability and accountability act (HIPAA), employee retirement income security act (ERISA), affordable care act (ACA), Section 125, family and medical leave act (FMLA)
  • Performs other duties as assigned

Education & Experience

  • Bachelor’s Degree in Human Resources or related field required
  • Previous HRIS experience is required
  • Typically requires 3+ years of related experience

Certifications & Licenses

  • Certified Benefits Professional (CBP) preferred

Knowledge, Skills & Abilities

Basic knowledge of:

  • U.S. laws and regulations, including ERISA, HIPAA, PPACA, COBRA

Basic ability to:

  • Adapt to changing and new priorities
  • Consistently meet daily, weekly and monthly deadlines
  • Maintain confidentiality of all employee data and matters
  • Analyze, organize and prioritize work while meeting multiple deadlines

Basic skill in:

  • Listening and communicating with the ability to speak in public
