Project Coordinators are responsible for scheduling, anticipating, and resolving client needs and
supporting the AV Services Team. They help bring projects into reality by overseeing the entire installation
process, from post-sales communication through project completion. They work closely with our clients to
ensure that each system install runs smoothly by collaborating with ImageNet’s internal AV Team to get the job
done to the client’s satisfaction.
Project Coordinators have a passion for creating and accomplishing extensive task lists to keep
everything organized for multiple projects at a time. Someone who is capable of multitasking while still
staying on target to accomplish daily goals and task lists. Their ability to communicate effectively to the client
ensures our clients are always up-to-date and comfortable with how projects are moving along and increase our
impact on future business in lasting relationships.


ROLE RESPONSIBILITIES:
  • Ensures clients and AV Services Team have all necessary supplies and equipment and maintains active
installation/project schedule.
  • Maintains up to date project communication with customer/client for all AV projects.
  • Ensures schedule is maintained and delays are properly communicated; pre-arranges with customers an
estimated time of arrival for install teams; keeps Services Manager updates with projects and issues.
  • Schedules client training on new equipment use and maintenance.
  • Updates internal project-tracking software daily.
  • Receives client phone calls, answers client inquiries, and helps to resolve client issues by coordinating with
proper company personnel.
  • Gathers any needed information regarding client devices and relays information to appropriate department.
  • Maintains a professional and personable demeanor while communicating with clients whether by phone,
email, or face-to-face, all while displaying our likable and relational values.
  • Understand project schedule and assist in coordination of appropriate resource scheduling for all required
project tasks.
  • Assist / facilitate discovery and documentation during internal project kick-off meetings as needed
  • Attend external project kick-off meetings with all necessary external stakeholders as well as applicable internal
resources as required.
  • Assists and facilitates internal and external project communication and documentation by keeping accurate
files and records of project status and activities
  • Understand and compile job progress reports. Raise any issues to Management for proper escalation.
  • Review daily site progress reports from lead technicians and respond to needs identified.

QUALIFICATIONS:
  • A minimum of 2 years’ experience in the AV industry or related client-facing service in the corporate vertical
  • Experience with commercial audiovisual and network infrastructures preferred
  • Knowledge of complex wiring configurations and/or signal flow for audio, video, and control preferred
  • Ability to lead multiple site teams on large projects
  • Knowledge and application of industry installation safety codes and standards
  • Continues to develop knowledge and skills pertaining to Commercial Audiovisual best practices and Systems
  • Great customer service
