Job Title: Associate Registrar
Reports To: Sarah Evans, Chief Registrar
Status/Salary: Full time. $20.50 - $23.60 per hour

Overview:

The Registrar's Office at the George Eastman Museum has primary responsibility for documentation, logistics, and risk management as they relate to the permanent collection, and objects on loan to the institution. The department works closely with all areas of the museum, but maintains especially close collaboration with the collecting departments of the museum.

Jod Duties:

  • Implement and maintain registrarial procedures associated with potential acquisitions for the collection and
    outgoing loans from the collection.
  • Serve as primary point of contact with donors, vendors, and borrowers regarding the logistics and shipping of
    objects for donation, purchase, or outgoing loan (except in the context of traveling exhibitions).
  • Serve as primary contact for shipments of collection objects and potential acquisitions.
  • Maintain clear communication with borrowers and potential borrowers from other institutions.
  • In concert with the Moving Image department, acquire full understanding of the proper handling and shipping of
    nitrate film; acquire appropriate certification to ship hazardous materials.
  • Working closely with the Moving Image department, fulfill shipping requests for loans from long-term lenders.
  • Organize and lead monthly loan meetings; implement changes as needed; organize courier trips as required.
  • Prepare and maintain detailed and accurate records associated with the acquiring, accessioning, or
    deaccessioning of objects.
  • Prepare and maintain loan agreements, receipts, shipping records, etc., associated with objects lent by the
    museum to other institutions. Establish protocols for the archiving of paper records once the loans are closed.
  • Prepare and distribute deeds of gift and receipts to donors and/or other appropriate signatories. Ensure that
    legal title is clear, and clearly transferred to the George Eastman Museum.
  • Update and maintain relevant data in the museum's collection database of record, The Museum System (TMS).
  • Work with department staff, curators, and collection managers to streamline and refine procedures.
  • Uphold the collections management policy, and monitor its ongoing suitability to meet the museum';s needs;
    propose changes as appropriate.
  • Serve as courier for art in transit and during de/installation at borrowing venues.
  • Work with the museum's fine arts insurance carrier as required.
  • Work takes place in an office environment with moderate to light noise. The physical activities of this position
    require standing, walking, sitting, speaking, hearing, seeing, typing, lifting, and the ability to travel.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS:
Educational Requirements

  • Master's degree in Art History or related field required.

Experience Requirements

  • Must have at least three years of experience with TMS;
  • Possess an understanding of the profession of museum registration and museum practice in general;
  • Have excellent organizational skills and attention to detail.
  • Strong computer skills e.g. Photoshop, Collection Management software (TMS), Microsoft Office.
  • The ability to effectively organize large amounts of data, and
  • Excellent communication and interpersonal skills; Effective time management skills.
