Salary: $55,000 – $75,000 / year

To help us achieve that mission, we are seeking an experienced “Assistant Project Manager”.

Responsibilities:

Safety

  • Discuss and implement best practices that drive site safety.
  • Ensure that safety reports are properly incorporated into job files.
  • Partake in safety specific training.

Quality

  • Detail oriented, deadline driven, able to prioritize, conscientious, and willing to work as needed to produce quality projects.
  • Have a thorough knowledge and understanding of field operations and processes.
  • Develop tracking format for project punch lists that will assist the project manager in receiving the appropriate sign-off signatures from subcontractors and owners.
  • Ability to identify and address potential problem areas early in the process and develop strategies to overcome obstacles. Work with the Project Manager, Plant Manager and/or Department Head on resolution.
  • Maintain all project files.
  • Working with Aggregate, Concrete and Asphalt divisions on various projects.

Profitability

  • Review RFI responses from vendors and subcontractors and determine additional cost and/or time with the assistance of the Project Manager.
  • Responsible for accurate and timely processing of all change orders, subcontractor payables, and in corporate accounting system.
  • Review project/job cost on a weekly basis to ensure accuracy and timely problem resolution.
  • Reconcile project progress detail on a weekly basis.

Schedule

  • Assist the Project Manager with the project meetings (Owner’s meetings and subcontractor meetings).
  • Prepare meeting agendas, record meeting minutes and distribute as appropriate as directed by the Project Manager.
  • Attend all preconstruction meetings to gain understanding of job/project requirements.
  • Attend all exit strategy meetings to guarantee a successful project close.

Customer Satisfaction (includes both internal and external customers)

  • Externally maintain outstanding client relationships.
  • Resolve project problems, disputes and open issues on a timely basis with assistance of the Project Manager
  • Internally, help foster an efficient, productive environment.
  • Identify personality differences and work hard to communicate and achieve common goals.

Other Duties

  • Import the job in Viewpoint, create PO and Subcontracts. Prepare document for pre-job planning meetings. Send out PO’s and Subcontracts. Create job files. Review and be familiar with the project contract, terms, and conditions. Order tax exempt certificates and distribute to subs and suppliers. Make sure subcontracts are received with correct Certificate of Insurance and monitor that they stay in compliance.
  • Job Cost – Assist the Project Manager and SuperintendentPlant Manager with change order processing. This includes, but not limited to, entering new contract items, budget revisions and maintaining reconciled contract values with the Customer/Owner. Following up on requested change orders to ensure they are in place in a timely manner
  • Accounts Payable – Maintain purchase orders, keeping the Project Manager / Plant Manager updated on any overages, etc. Scan all invoices to job files. Enter job invoices and subcontractor payables into PVault for approvals then export/import job payables to Viewpoint.
  • Process monthly payments for job payables and pay subcontractors per payment terms of subcontract. Complete executed check run batches to circulate for payment approvals.
  • Month-end –Review contracts to update any contracts and subcontracts. Review AP to make sure invoices are posted with correct dates and vendors. Assist and work together with the Project Manager/Plant Manager to prepare for monthly job cost reviews.
  • Ensure Contractors have all their required paperwork (subcontracts, P.O., MSHA compliance, insurance, etc).
  • Input and manage Purchase Order process for the Aggregates Division
  • Be available to assist in furnishing documentation on any requested testing items by the CPA firm.
  • Assist division staff with equipment and parts procurement activities
  • Monitor division equipment and inventory requirements for each project
  • Serve as a resource to division management to evaluate project progress and prepare reports
  • Identify and development best practices
  • Assist division staff with all required safety standards for company projects. Apply for permits as needed.
  • Work with concrete and asphalt divisions on individualized projects.

Qualifications:

  • Excellent communication skills
  • Excellent computer skills (Microsoft Office)
  • High school diploma or equivalent
  • Bilingual a plus
  • Must be safety-minded, team-oriented, and customer-focused
  • Detail and technically oriented individual
  • Requires a minimum of 2 years prior experience in construction accounting
  • Requires a minimum of 2 years prior experience in a construction environment, in a similar position
  • Must be self-motivated with ability to perform duties with minimal supervision
