Student Union, Event and Conference Services
IN THIS ROLE YOU WILL
The Assistant Director manages the Welcome Desk, Box Office, and Chicago Transit Authority (CTA) U-Pass programs. The Assistant Director also manages the University ID system and oversees other Student Union operations, including event set-up and teardown, dining, catering and vending services, and building safety/cleanliness. In addition, the Assistant Director oversees the departmental websites and social media platforms for information distribution and promotion

MINIMUM QUALIFICATIONS AS OUTLINED IN THE CLASSIFICATION SPECIFICATION; CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER
- Bachelor's Degree (120 hours) loading to a major in student personnel, business administration, or a closely related field.
- Two (2) years (24 months) of experience in the management of a university/college student union/center or college/university conference unit*
- Note: A Master's Degree or higher in student personnel, business administration, or a closely related field may be substituted for one year of experience.
DEPARTMENTAL PREFERRED QUALIFICATIONS
A master's degree in higher education/student affairs or a related field (preferred). Four years of progressively responsible leadership, supervisory, or management roles in a student union, student center, or student activities programs in a university campus environment. Experienced in interacting with on and off-campus constituencies in a diverse campus population in building a sense of community, strong communication, interpersonal abilities, and good decision-making skills. Knowledge of current computer platforms and software related to cloud-based telephone services, points of sales, Touchnet, and 25Live. Willingness to work irregular and flexible hours. Creativity and vision for program development in a rapidly changing environment.
RESPONSIBILITIES
Management and Supervision
- Direct all operations of the Welcome Desk (NEIU Information Center & Main phone Line), Box Office, and U-Pass programs.
- Direct all operations of the University ID System with the eventually expanded use of current and or new technology; and will assist with overseeing all other department technology systems.
- Direct operations and cash management of other Welcome Desk services, including Lost and Found, Locker Rental program, and sale of some commodities (i.e., pop-up Spirit Shop, stamps, AMC tickets).
- Provides supervision, training, professional direction, and evaluation of Student Union and information services full-time and student staff as directed.
- Shall supervise NEIU mainline Telephone Operator as part of the Welcome Desk area to connect outside inquiries to the appropriate department for assistance.
- Develop procedures and training materials for all functions.
Building Operations and Facilities Management
- Assist with overseeing Student Union operations, including event-related setup and tear-down (in conjunction with Production Technical Services) dining/catering services.
- Assist the Executive Director of Student Union and Campus Recreation in developing and implementing policies and procedures to enhance the safety and security of the building and the university community.
- Work with Facilities Management to ensure building safety and general facility cleanliness.
- Work with a contracted Dining Services provider to ensure compliance on contractual issues and equipment upkeep and maintenance.
- Assist in supervising all new construction projects and facility renovations in the Student Union.
- Responsible for keeping the Executive Director informed about the status of all projects and making recommendations for timely completion.
- When requested, represent the Executive Director in meetings with architects, engineers, and Facilities Management staff.
- Serve as a department inventory manager.
Financial
- Serve as a Financial Manager for daily Student Union operations.
- Serve as a Financial Manager delegate for Executive Director on all operations and maintenance accounts in their absence.
- Make recommendations and formulate all purchase requisitions for equipment and commodities for the Student Union facilities, with responsibility for researching products, reviewing bids, communicating with vendors and university purchasing officers.
Information Management
- Responsible for maintaining the department's public information content management system to promote current/upcoming events, provide important information to the university community, and include various other types of engaging content.
- Shall also oversee the department's social media communication and other department-related promotions.
- Ensure synergy between each NEIU campus - main campus, El Centro, Carruthers Center for Inner City Studies (CCICS), University Center of Lake County (UCLC), and incorporate each into daily Student Union activities and services.
Other duties as assigned
- Oversees Commencement ticket distribution, including management of Commencement Ticket Database and supervision of other events as needed. Must work both May and December Commencement ceremonies each year.
- Shall serve on University committees and participate in other University projects as needed.
- Other duties assigned by the Executive Director of Student Union and Campus Recreation.

SALARY
$52,000
BENEFITS
Comprehensive benefits package including health, dental, and vision benefits, sick and vacation days, and participation in the State Universities Retirement System. This is a full-time, continuing position.
HOURS
Monday – Friday, 8:30 a.m. - 4:30 p.m. (Hours may vary depending on departmental needs)
