Job Purpose/Summary:
  • The Plains IS department has reorganized and has deployed an Operating Model to align to company needs and strategy.
  • As part of our future state Operating Model, this role will play an important part in supporting the IS department by enabling:
    • Effective and efficient triage of IS requests as part of our intake process
    • Visibility into the total work asked of IS
    • Effective prioritization and sequencing of work against our IS strategy
    • Visibility into the magnitude and volume of work delivered to business customers
  • These activities not only help to execute our Operating Model but also inform key leadership decisions both inside, and external to, Information Systems.
Job Responsibilities:
Plan and Manage the IS Portfolio
  • Maintains full visibility into the totality of work within the IS Operating Plan for ‘in progress’ and planned work, identifies dependencies, and recommends sequencing of IS work as required.
  • Supports the IS request / intake process, will work within ServiceNow to triage IS requests for enhancements, net new applications, upgrades, and other types are work submitted by business unit and IS requestors.
  • This is a key step in our intake and triage process to ensure requests are sent to the appropriate stakeholders within IS Solution Delivery and Enterprise Architecture for review.
  • Supports, monitors adoption, trains, and educates the IS department on our intake process for work coming into the department including support of the annual and ad-hoc IS investment process and associated QA/QC of deliverables.
  • Works with all IS functions to triage IS work by providing analytical interpretation and triaging to the appropriate groups for review.
  • Acts as a technical subject matter expert with regard to ServiceNow request intake.
  • Supports documentation and continuous improvement of the overall request process.
  • Monitors and manages active requests, following up with stakeholders to enable timely actions / decisions
  • Optimizes our intake process to increase efficiency and accuracy, include driving the design of automation for ServiceNow requests.
  • Conducts research to support and improve the maturity of portfolio best practices, publications (Gartner Research), reports and deliverables to the team (e.g., completion of market surveys, data analysis, cash flow analysis, financial modelling, and other deliverables).
Knowledge Adoption and Reporting:
  • Supports the portfolio intake function with a full analytical service offering. Develop service request reporting and executive dashboards, providing analysis, conclusions, and recommendations for IS and business leadership.
  • Creates presentations to present findings to all levels of the IS department in an understandable and compelling manner.
  • Prepares and enables the communication of decisions, priorities, and relevant technology request intake to appropriate levels of staff regarding business unit requests, projects, and initiatives.
  • Advocates for accountability for all intake and provides the focal point for agile, effective, and efficient decision making.
  • Identifies, analyzes, and prepares data for tracking, measuring, and reporting anticipated and/or realized value from IS intake.
  • Analyzes intake data to provide recommendations for improvement based on comparative IS benchmark analysis including but not limited to: IS investment, portfolio performance, and IS maturity.
Working Relationships:
  • Helps build a collaborative relationship across all IS teams.
  • Works collaboratively with all IS functions on establishing and maturing processes.
  • Collaborates with infrastructure and project teams to ensure consistency of end-to-end process.
  • Works closely with IS teams to define work and ensure work is effectively prioritized into portfolios which meet both business and technology strategy needs and outcomes.
  • Works closely with the EA, Infrastructure, IS Solution Delivery team to align project and portfolio reporting.
Knowledge, Skills, and Experience Required:
  • At least 2 years of experience in a related role
  • ServiceNow Request Management experience is an asset
  • Experience working on an Architecture team is an asset
  • Able to understand the complexity of requests in terms of effort required to address requests, integration needed, and alignment to our Architectural strategy and roadmaps
  • Experience with Business Analyst (BA) practices and procedures
  • Experience consulting either internally or within a professional services firm is an asset
  • Excellent verbal and written communication skills
  • Has a collaborative approach with team members, vendors, and business stakeholders
  • Ability to think independently and work within a team environment
  • Cleared criminal history (background) and satisfactory reference checks
  • Compliance with the Company’s drug and alcohol policy including pre-employment D&A testing.
