Job Summary

The Admissions Coordinator will serve a critical role within an integrated Marketing and Admissions Team for Professional Education (PPE) at the Harvard Graduate School of Education (HGSE), which serves 10,000 professionals in early childhood, K-12, and higher education around the world each year through a diverse portfolio of 90 professional learning offerings.

Reporting to the Admissions Manager and in collaboration with a team of Admissions staff and colleagues within PPE, the Admissions Coordinator will manage the admissions for roughly 30 programs within an assigned portfolio, providing exceptional service and guidance to educators seeking professional learning opportunities, executing outreach and follow up to help convert interest to enrollment, and owning all aspects of the application, review, decision, and enrollment process for a large volume and diverse population of professionals.

Position Description

Admissions:

  • Responsible for admissions decisions for their portfolio of programs based on criteria agreed upon with the Portfolio Directors and Faculty Educational Chairs
  • Processes and communicates admissions decisions for all applicants within portfolio
  • Tracks enrollment, identifies trends, and prepares periodic reports as required
  • Creates admissions processes, criteria, and communications for new programs
  • Partners with Portfolio Directors to achieve faculty educational chair interests and expectations for cohort mix and audience
  • Partners with and assists organizations/schools/districts with large group enrollment
  • Processes applications and maintains participant records in the Radius CRM
  • Ensures that application materials are complete, following up with applicants as needed
  • Actively manages wait lists and participant attrition
  • Prepares demographic information and presentations for assigned programs

Customer Service:

  • Manages communications with potential partners and districts in collaboration with team
  • Responds to application inquiries for portfolio of programs in a timely manner and troubleshoots or redirects requests
  • Ensures effective clear handoffs of participant communication between internal functional teams throughout the admission process
  • Provides system-level troubleshooting for applications as necessary

Outreach:

  • Reports on, analyzes, and shares data to inform future business development and outreach activities.
  • Works within Radius CRM to track and proactively reach out to prospective groups and individuals for account based outreach.
  • Participates in weekly meetings to identify priority programs that need additional outreach efforts to meet enrollment goals; executes agreed upon next steps to support prospective candidates in applying to and enrolling in programs.

Systems and Administration:

  • Manages processes within the organization-wide Radius CRM and applicant tracking system, from application creation, email communications, data and reporting, event/webinar registration and management, decision notifications, invoice creation, and other related processes.
  • Monitors data entry and ensures data integrity.
  • Contributes to the development and implementation of admission policies, procedures, and best practices.
  • Other duties as assigned.

Basic Qualifications

  • BA/BS or equivalent work experience.

  • 1-2 years of administrative experience required, which should include customer service.

  • Availability to work overtime during peak times.

  • Proficient with Microsoft Office suite applications, including Word, Excel, and PowerPoint. Comfort and experience with web-based applications.

  • Proven ability to stay organized and multi-task with shifting priorities and interruptions; demonstrated ability to work effectively under deadline pressure and as part of a team; ability to work collaboratively.

  • Knowledge of Harvard and/or professional education preferred.

  • Higher education or school system experience a plus.

  • Experience working with Radius CRM application a plus.

Working Conditions

HGSE is currently developing dynamic workplace models which will actively support a combination of on-campus and remote work (within a state in which Harvard is registered to do business) where business and operational needs allow.
